Finance, HR, Tax and Compliance Manager

Position Overview

The Finance & Administration Manager is responsible for establishing and maintaining world-class financial and administrative systems across the company’s Canadian and U.S. entities, with particular emphasis on:

Financial reporting and cash flow management
Budgeting and forecasting
U.S. federal and state tax compliance
Canadian tax coordination
Payroll and benefits administration
Human resources and employment compliance
Workers’ compensation and OSHA-related administration
Insurance and risk management
Banking, financing, and investor reporting
Administrative systems and controls

This position is intended to provide the financial discipline and administrative infrastructure necessary to support rapid growth, regulatory approvals, and expansion across North America.

Key Strategic Contribution

The Finance & Administration Manager will help the company achieve:

CAD $25 million annual revenue by December 31, 2028
CAD $10 million annual net profit
Strong cash reserves with minimal short-term debt
Highly disciplined administrative and financial systems
Full compliance with all employment, tax, and insurance requirements in both the United States and Canada

Core Responsibilities

Finance & Accounting

Prepare monthly, quarterly, and annual consolidated financial statements.
Manage cash flow forecasts, working capital, and banking relationships.
Oversee accounts payable, accounts receivable, and payroll.
Coordinate budgets and strategic forecasts.
Maintain and improve accounting systems, including Xero and related integrations.
Prepare board and investor reports.

U.S. Federal and State Tax Compliance

Coordinate filings for IRS, North Dakota, Montana, and other relevant jurisdictions.
Manage sales tax, payroll tax, and corporate income tax obligations.
Coordinate with external CPAs and tax advisors, including Multi-State Tax.

Human Resources

Administer employment agreements and onboarding.
Maintain personnel records and HR policies.
Coordinate benefits and leave administration.
Ensure compliance with U.S. and Canadian labor laws.

Insurance & Risk Management

Manage general liability, product liability, property, and directors’ insurance.
Administer workers’ compensation coverage and claims.
Coordinate annual renewals and claims reporting.

Payroll & Benefits

Ensure accurate and timely payroll processing.
Manage benefit enrollments and deductions.
Oversee year-end reporting (W-2s, T4s, 1099s, etc.).

Compliance & Administration

Maintain business registrations and licenses.
Coordinate legal and regulatory documentation.
Support EPA registration and corporate governance initiatives.

Suggested Compensation

Base Salary: US$90,000 – US$150,000 depending on experience
Performance Bonus: Based on:
Accuracy and timeliness of reporting
Cash flow improvements
Tax and compliance performance
Cost control and EBITDA targets
Benefits package and potential long-term incentive participation

Ideal Candidate Profile

CPA, CMA, or equivalent designation preferred
5–10+ years in finance and administration leadership
Experience in manufacturing, cross-border operations, or regulated industries
Strong knowledge of U.S. state and federal tax systems
Hands-on HR and payroll experience
High integrity, ownership mentality, and attention to detail
