Corporate Receptionist

Salary: Up to $70K (Based on Experience)

Key Responsibilities

Provide a professional, positive customer service experience to clients, guests, and internal Firm members
Answer the main switchboard and respond to inquiries professionally while redirecting calls and messages as needed
Maintain Firm security procedures
Manage loaner pass card logs
Respond to incoming reception email inquiries in a professional and positive manner
Resolve conflicts calmly and professionally as they arise
Maintain the reception area and ensure guest seating areas remain tidy and presentable
Replenish refreshments, cookies, and snacks for guests throughout the day
Manage the Firm’s boardroom booking system
Close reception at the end of the day following established procedures
Maintain the Firm lunchroom and satellite kitchens as required
Monitor Firm boardrooms daily to ensure spaces are clean, organized, and equipped with meeting essentials
Assist with setup and cleanup for large or special internal catered events (e.g., lunches, seminars)
Support coordination of internal catering orders, taxi chit administration, and other administrative duties
Maintain a high level of confidentiality in all interactions
Perform data entry and other administrative tasks as required

Qualifications

5+ years of corporate reception or administrative experience in a fast-paced, client-service, professional environment
Law firm experience considered an asset
Positive, professional, and upbeat personality with excellent telephone etiquette and strong interpersonal skills
Strong time management and organizational abilities
Proactive team player with a collaborative approach
Strong decision-making skills
Ability to work independently and efficiently complete daily tasks
Basic proficiency in Microsoft Office programs including Word, Outlook, and Contacts
Experience working with Document Management Systems considered an asset
