I am constantly on the phone - either directing calls, arranging appointments, paging out messages, or simply assisting in basic inqueries.  Phone calls are handled by following certain guidelines and procedures depending on the type of call I am taking; because of this, I am constantly in a routine and everything I do is repetative.  The reception where I work at also handles walk-in's and preparing documents for employees, agents/brokers, and management, and other typical administrative duties.

Customer service skill is the bread and butter when working in a front office reception and administration.  My years spent working in such - especially in the real estate industry - honed these skills and surpassed the basic level of what is typically practiced and expected.  I learnt to anticipate what is needed and what must be done, and deliver results in a professional, polite, and efficient manner - even in the most difficult situations.  Emotion is key and controlling it is important, especially when dealing with difficult emotional people.  Years of experience gave me the ability to handle it easily and professionally.  Working in a fast-paced, results-oriented environment gave me the opportunity to develop and improve my skills in multi-tasking and at the same time paying careful attention to details - therefore finding the right balance between quantity and quality in my work performance.

The current management has a good relationship to us support staff.  Certain authority is typically practiced and in such a way where it's more on the laid-back spectrum.  However, because of such practice certain issues are not being addressed properly in a sense where there is no follow through; and because of this, there is almost no resolution.

The hardest part of my job here is the fact that there is no real challenges being presented.  What is required in my job relies heavily on routine and repetition and it can be easily said that the job lacks real "soul", especially when there is very little new opportunities and challenges being presented.  Another factor is the lack of growth within the company.  Career-wise, the administration field offers limited opportunity where you can achieve/acquire certain position (supervisor, senior staff, etc...) but nothing further in terms of development.

There is however a positive aspect with this job: the people.  We thrive on team work and the good chemistry we've developed help us accomplish the duties and tasks that are expected of us support staff.

Century 21 Parkland Ltd., Brokerage own Two offices; One in Toronto and the second in Markham. The Toronto Office is the head office, this is the office I work from, because it is closer to where I reside.

Typical day starts at 8:30 a.m. I am responsible for the opening procedures such as: unlocking the office, sorting emails and faxes that came in while the office was closed, processing the answering service messages and appointments, ensuring forms needed to process deals are available.

At 9:00 a.m., when the office is open to the public, I take the phones off call forwarding. My office only books in the appointments for the properties, when the Markham office is on break. At the Toronto office I am responsible for reporting deals to MLS Stratus, Toronto Real Estate Board, and to the Ontario Real Estate Association. Furthermore, I am responsible for an 8 line switch board to direct calls, sort the faxes and emails and they come in. I type up the Agreements of Purchase and Sale, Agreements To Lease and Commercial Agreements until  the end of my shift at 4:30 p.m.

What I have learned in this position, since I had come into it with no prior administrative experience, is that time management in this position is necessary to be more than average, with an attention to detail. In the Real Estate business everything this is time oriented. Listings expire, offer presentations can be delayed or pushed up on a whim. Agreements have the irrevocable date and time, and the conditions and clauses of the agreements all vary. 

The hardest part of the job is understanding the legality of the entire Real Estate process. This business is very technical and strict in its own way and Real Estate Agents, from my experience try to bend the rules more often than not, just to get the deal closed. My loyalty falls to the brokerage and not to the Agents, because the brokerage pays my salary and not the agent. Furthermore not only do the Agents get a fine, but so does the brokerage. If the brokerage gets a fine, its because some one in the administrative side processed a deal knowing they bent the rules. Due to this, my co-workers and I sometimes have a rough time getting along with each other, but no incidents have never not smoothed over.

As a realtor there are many things the public don't know. It's a work hard play hard kind of job. The problem is you can't play hard due to showing properties or doing offers at night and on the weekend. A typical day would include prospecting by phone or email in the morning as well as preparing and submitting all legal documents. Listing presentations, buyer showings, detailed research of area's and properties, understanding and submitting legal documentation. It's actually a lonely business as everyone is trying to close anything they can. I have been lucky enough to be one of the few that that make a decent living and have some good friends here.
I have changed so much in the past 7 years. I have learned how to be comfortable being uncomfortable and showing confidence at the same time. My co-workers are wonderful and I wish them all the best and want the best for them. As this is a competitive business some people don't operate this way. I have happily mentored many new agents. My philosophy is that "there is plenty of business out there for everyone, you just have to get it." Management is pretty much nonexistent. You are running your own business, everything is on you and no one else. This is the best and can be the worst part as you unfortunately see many people coming and going. I have a great job and love my office.
One of the things I enjoy about the business is the learning and growing you have to do. I believe if you're not growing your dying, so I make sure I keep learning, growing and pushing myself.

Working for C21 gave me a lot of great experience to apply to other jobs that require data entry. I gained a wealth of knowledge about the real estate industry during my time at C21. You wear many hats when you are working in the administration department. When you apply for ONE job — expect to do everyone else’s job too. 

I absolutely loved every single agent I worked for and it helped me overlook the very clique-y and “mean girls”-esque atmosphere. 

The management was another story — I have never worked for a more unprofessional manager who supports workplace bullying and harassment, and makes excuses for their actions by saying “it’s just the way they are, learn to deal with it”. Treats their “favourites” who didn’t know what they were doing with more respect than people who worked hard at their jobs. Is more accommodating to said favourites than anyone else — and makes your life and work environment a really stressful place if you stand up for yourself or “toe over the line”. 

I would whole heartedly consider going back if the management was replaced with somebody who values ALL of their employees and not just the ones Manager can be social with because despite the below satisfactory management this job is excellent for those who enjoy a fast paced and busy work environment.

At Century 21, I was hired to replace the Offer Administrator who was responsible for typing, proofing and completing all Offer packages, computer filing and storing the documentation and maintenance of the forms room.  The second hat was replacing the Listing Administrator while on vacation or on leave of absence which entailed uploading all pertinent information onto the  associated program to place a listing onto MLS and Realtor.ca.  This also included downloading and saving pictures to computer, resizing and then uploading these to the listing.  The third hat was replacing the Receptionist on her breaks, vacation and sick days.  This entailed greeting the public, taking payments, answering a computerized switchboard and forwarding the calls appropriately.

It was a multifaceted position working under pressure.

It makes you strategically think a lot when you are an administrative assistant, which is a really good thing, and I love it. I would have to think and do almost three things at once. For example, answer the phone, while scheduling appointments and booking open houses for clients and agents. I learned a lot on this job. I learned how to answer the telephone to clients and agents and other assistants in other real estate companies. I learned how to help agents make their job easier by giving them what they need and informing them if anything new comes up. I learned how to make contracts and cheques, and I also learned how to use various of computer programs.There were no hard part of this job, every task I had, I adapted very well into it in a short period of time and got the hang of it quickly.

I began at Century 21 Assurance Realty after working in the food service industry and soon after realized how much more there was to explore and achieve in the world. This workplace gave me confidence to grow and progress in a professional environment, and in my skills as a photographer, with opportunities in commercial design and leadership roles for projects. Century 21 Assurance Realty cares about it's staff and it is displayed everyday through collaborative work while management keeps the wheels well greased. If it weren't for Century 21 Assurance Realty, I would not have made life long friends and life long memories. Truly, an exceptional place of work and business and would recommend working here to anyone interested in a great social environment with great support staff and unlimited, but meaningful growth.

A typical day starts with prospecting in the morning. Late mornings will be set aside for follow up with clients and fellow members.  Appointments with clients are set for afternoons and evenings.  There is always something new to learn as there are always new rules and regulations from OREA and TREB that need to be adhered to.  

The best part of being a Realtor is the flexibility that it allows one to raise a family.  Having said that, there is quite a bit of work to be done during the weekends and evenings when one wants to be home with the family.

A typical day of work would be described as not monotonous at all, dynamic, creative and new things to learn everyday.
I learned to multi-task, to communicate better and to sell better with more customer satisfaction.
Management was great. Busy sometimes. Lot of pressure sometimes, but overall great.
Workplace was organized. easy to access whatever was needed to make job done.
Hardest part was customers/ vendors wouldn't pay on time. there was a lot of pressure from both parties. especially when move in dates were close and repairs were pending. 

The most enjoyable part is marketing which involves lot of moving around, meeting new people, its dynamic and lot of fun.

As an agent, you gotta constantly put in the work to see results. When submitting offers, there is a good amount of support as it could benefit the company. Other than that, no support with training,  mentoring, shadowing to learn the ropes as a new agent. All this was mentioned when I interviewed to see if the brokerage would be a good fit for me. I was even told I would get information about training coming up in the next week and received nothing. Ended up just using TRREB and joined various training webinars. Turnaround time for a response about other items like my contract for example take months to receive anything. Very unprofessional and lack of support. Now I'm looking to end my 2 year contract. Sent this request in 3 months ago and still have yet to end it.
