JOB DESCRIPTION
Stakeholders Liaison and Scope Management:
Serve as the primary point of contact for clients and third-party project managers to accurately ascertain project requirements.
Proactively address and resolve client inquires, complaints, or service-related issues in a professional and timely manner.
Facilitate discussions to clarify scope-of-work, resolve operation ambiguities and ensure all deliverables align with project objectives and organizational standards.
Procurement and Fulfillment Coordination:
Manage the end-to-end fulfillment process for products and equipment (annual volume $250,000)
-Ensure all orders align with pre-established vendor and manufacturer agreements, verify product specifications, coordinate delivery schedules and resolve logistical discrepancies to ensure seamless operational continuity.
Financial Administration and Invoicing:
Administer full-cycle invoicing operations, including the reconciliation of vendor invoices against purchase orders.
Cross-Functional Agility:
Must successfully complete cross-training initiatives across internal departments to develop a versatile understanding of organizational operations and provide high-level support as business needs require.
QUALIFICATIONS
Minimum of three + years of progressive admin experience - demonstrating a consistent increase responsibility and operational scope
Minimum two + years of proven experience in Administrative Project Coordination with a demonstrated ability to independently oversee and coordinate the entire administrative project lifecycle
Minimum two years of direct experience working in a professional or regulated environment eg. Banking, health care, government or professional services
Successful candidate must be sucessfully pass a Criminal Record Check due to the nature of the role
Completion of High School required
A post secondary diploma or degree in Business Administration is preferred
Equivalent combination of education and experience will be considered
Must possess a valid work permit or be otherwise legally authorized to work in Canada
