Summary
The Empowering Newcomers for Entrepreneurship (ENfE) program offers a comprehensive approach to empowering newcomers and racialized individuals in Ontario by providing the skills, resources, and networks needed to explore and establish sustainable businesses in Canada. Reporting to the Project Manager, the Administrative Assistant provides administrative, logistical, data management, and participant support to ensure the successful delivery of the program.
Position Type: Casual (10-15 hours per week)
This role is hybrid at this time – working a minimum of 2 days in office.
Duties & Responsibilities
- Maintain accurate and up-to-date client records and program databases, ensuring data integrity and compliance with funder and organizational requirements.
- Support participant intake, registration, onboarding, scheduling, and ongoing follow-up activities throughout the program lifecycle.
- Schedule meetings, maintain calendars, prepare agendas, and coordinate administrative logistics for program staff, facilitators, mentors, and community partners.
- Track participant progress and engagement, ensuring milestones, outcomes, assessments, and supporting documentation are recorded accurately and in a timely manner.
- Manage the program SharePoint site by organizing program resources, documentation, and files to support efficient information sharing and collaboration.
- Assist the Program Facilitator with the planning, setup, delivery, and follow-up of online and in-person program sessions and events.
- Assist the Project Manager with the preparation of monthly, quarterly, and annual reports related to participant registration, attendance, program activities, client outcomes, data tracking, and funder reporting requirements.
- Provide general administrative support to the program team and perform other duties as assigned by the Project Manager.
- Able and willing to work evenings and weekend as dictated by program needs.
- Able to travel within the GTHA for stakeholder meetings, events, and conferences.
Qualifications
1. Bachelor's Degree/Diploma in Social Services, Community Development, Business Administration, or a related field.
2. Minimum two (2) years of experience in administrative support, data entry, database management, and record keeping.
3. Experience working in the newcomer, entrepreneurship, employment, or community services sector is considered an asset.
4. Demonstrated experience tracking participant progress, maintaining program records, monitoring outcomes, and preparing reports to support effective program administration and compliance.
5. Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Adobe Acrobat), with demonstrated experience using databases, CRM systems, SharePoint, and online collaboration platforms to support effective program and administrative operations.
6. Excellent organizational and project coordination skills with the ability to manage multiple priorities and deadlines.
7. Strong attention to detail and accuracy in data entry, documentation, reporting, and record management.
8. Excellent written and verbal communication skills in English.
9. Demonstrated ability to handle confidential information with professionalism, discretion, and integrity.
10. Ability to work independently and collaboratively in a fast-paced environment.
Hourly rate: $26.62
