Position Summary
The Shipping Clerk is responsible for preparing, verifying, documenting, and coordinating outgoing shipments of custom window covering products, components, samples, and accessories.
This position ensures that every shipment is accurate, properly packaged, correctly labelled, and dispatched according to the customer’s order requirements and the company’s delivery schedule. The Shipping Clerk works closely with Production, Packing, Order Entry, Customer Service, Wholesale, Receiving, and external carriers to support efficient order flow and a high standard of customer service.
The successful candidate will be organized, detail-oriented, physically capable, and comfortable working in a fast-paced manufacturing environment.
Key Responsibilities
Order Verification and Shipment Preparation
- Review completed orders, work orders, packing slips, and shipping instructions before shipment.
- Confirm that the correct products, quantities, hardware, brackets, remotes, chargers, samples, and accessories are included.
- Verify customer names, delivery addresses, purchase order numbers, sidemarks, project information, and special delivery instructions.
- Identify discrepancies, missing items, damaged products, or incomplete documentation before orders leave the facility.
- Communicate shipping issues promptly to Production, Quality Control, Order Entry, Customer Service, or management.
- Ensure orders requiring customer pickup, dealer delivery, parcel shipment, or freight shipment are routed correctly.
Packaging and Labelling
- Inspect packaged window coverings to ensure they are adequately protected for transportation.
- Confirm that cartons, tubes, skids, corner protection, wrapping materials, and labels are appropriate for the product being shipped.
- Repackage or reinforce shipments when necessary to reduce the risk of transportation damage.
- Prepare and apply accurate shipping labels, carton labels, pallet labels, and handling instructions.
- Ensure long or oversized window covering products are packaged safely and identified correctly.
- Separate multi-carton orders clearly and verify that all cartons are included in the shipment.
Carrier and Freight Coordination
- Prepare shipments for courier, small-parcel, local delivery, customer pickup, and less-than-truckload freight carriers.
- Schedule carrier pickups and coordinate daily shipping cut-off times.
- Prepare bills of lading, courier documents, manifests, packing slips, customs documents, and other required paperwork.
- Obtain freight quotations when requested and select approved shipping services according to company procedures.
- Ensure tracking numbers, consignment note numbers, carrier information, and shipment dates are recorded accurately.
- Assist with domestic, U.S., and international shipping documentation when required.
- Communicate with carriers regarding missed pickups, delayed shipments, damaged freight, delivery exceptions, and proof-of-delivery requests.
System and Documentation Responsibilities
- Update shipment information accurately in Blindata, carrier portals, customer portals, spreadsheets, or other company systems.
- Record shipment dates, tracking numbers, carrier names, freight charges, carton counts, weights, and dimensions.
- Print and organize shipping documents for completed orders.
- Ensure electronic shipping notifications and advance shipment information are transmitted when required.
- Maintain organized electronic and physical shipping records.
- Support EDI-related shipping processes, including the preparation and verification of shipment information used for advance shipping notices.
- Confirm that shipped orders are closed or updated correctly in the company’s systems.
Customer Pickups and Local Deliveries
- Prepare and stage orders for customer, dealer, installer, and internal pickups.
- Confirm the identity of the person collecting the order and obtain a signature or pickup confirmation when required.
- Ensure customers receive all cartons, hardware, documents, and accessories associated with their orders.
- Coordinate with drivers and installers regarding local deliveries, installation orders, and delivery priorities.
- Maintain an organized pickup area and clearly identify orders awaiting collection.
Shipping Area Organization and Inventory Support
- Maintain a clean, safe, and organized shipping department.
- Arrange completed orders by carrier, route, customer, pickup date, or shipping priority.
- Monitor supplies such as cartons, tubes, tape, stretch wrap, labels, corner protection, pallets, and shipping documents.
- Notify management or purchasing when shipping materials need to be replenished.
- Assist with receiving, inventory counts, material movement, packing, or warehouse duties when required.
- Follow established procedures for recycling cardboard, disposing of waste, and maintaining clear aisles and exits.
Quality, Safety, and Continuous Improvement
- Conduct a final visual inspection of outgoing shipments.
- Follow company quality standards and prevent incomplete, damaged, incorrectly labelled, or improperly packaged orders from being shipped.
- Report recurring packaging damage, carrier issues, order discrepancies, or process inefficiencies.
- Assist with investigations involving freight claims, customer shortages, damaged deliveries, and shipping errors.
- Participate in the development and improvement of shipping checklists, standard operating procedures, and packaging standards.
- Follow all workplace health and safety requirements, including safe lifting, material handling, pallet-jack use, and loading procedures.
- Wear required personal protective equipment and immediately report unsafe conditions.
Required Qualifications
- Previous experience in shipping, receiving, warehousing, manufacturing, logistics, or order fulfillment is preferred.
- Strong attention to detail and commitment to order accuracy.
- Ability to read and understand work orders, packing slips, shipping labels, and customer instructions.
- Basic computer skills, including email, spreadsheets, data entry, and carrier shipping portals.
- Ability to communicate clearly with coworkers, carriers, drivers, customers, and management.
- Strong organizational and time-management skills.
- Ability to prioritize multiple shipments and meet daily carrier deadlines.
- Dependable attendance and punctuality.
- Ability to work independently and as part of a production team.
Preferred Qualifications
- Experience using an ERP or manufacturing management system.
- Experience with Blindata or a similar order-processing system.
- Experience preparing courier, freight, customs, or bill-of-lading documentation.
- Familiarity with UPS, FedEx, Purolator, Canpar, LTL freight, or similar carrier systems.
- Experience shipping long, oversized, fragile, or custom-manufactured products.
- Experience operating a pallet jack or other material-handling equipment.
- Knowledge of window coverings, construction products, or custom manufacturing.
Physical Requirements
- Ability to stand and walk for extended periods.
- Ability to bend, reach, carry, push, and pull materials throughout the workday.
- Ability to lift and carry packages weighing up to approximately 50 pounds, with assistance or lifting equipment used for heavier or oversized products.
- Ability to safely handle long cartons, tubes, finished window coverings, and pallets.
- Ability to work in a manufacturing and warehouse environment with regular movement of materials and equipment.
Pay: $18.00-$20.00 per hour
