Are you an efficient, analytical, detail-oriented professional with a passion for admin and operations? We are looking for a motivated Transaction Manager ( Deal Administrator) to anchor our London, ON office.
This dynamic role has expanded beyond standard deal administration. You will wear multiple hats: supporting our brokerage team with end-to-end transaction management, including FINTRAC compliance, providing executive assistance to the Broker of Record, and coordinating property marketing materials. Key Responsibilities
- Transaction & Financial Admin: Manage all sales and lease transactions, complete Excel cash flow analyses, track commissions/sales, prepare invoices, and work with accounting on trust reconciliations and RECO reporting.
- Compliance Leadership: Ensuring all files are FINTRAC compliant, managing documentation, audits, and providing and ensuring ongoing compliance education to the team.
- Broker & Office Support: Provide direct administrative support to the Broker of Record, our hard-working Sales Team, and oversee day-to-day office management operations.
- Marketing & Proposals: Prepare client proposals, RFPs, confidentiality agreements, and work closely with the Marketing Coordinator on property brochures, and feature sheets.
What You’ll Bring
- Experience: 3+ years of transaction management, deal administration, or brokerage operations experience ideally in a commercial real estate environment.
- Previous experience in an administration role for a realty firm is a huge asset.
- Compliance Knowledge: Strong familiarity with FINTRAC regulations and RECO reporting requirements (acting as a Compliance Officer previously is a massive asset).
- Tech Savvy: Advanced proficiency in Microsoft Office (specifically Excel for financial analysis) and Google Workspace. Experience with ITSO, Matrix, PropTx, or similar real estate board MLS systems.
- Education: A college or university degree in business, finance, or a related field is considered an asset.
- Skills: Exceptional communication skills, strict attention to detail, a knack for creative problem-solving, maintaining confidential information and files, and the ability to manage competing deadlines.
