CIVILIAN POSITION DESCRIPTION
Position Title: OPERATIONS SUPPORT ADMINISTRATOR

Immediate Supervisor: STAFF SERGEANT, OPERATIONS
Hours of Work: FULL-TIME: DAY SHIFTS, WEEKENDS REQUIRED.
POSITION OBJECTIVES
The Operations Support Administrator is responsible for providing administrative support to Operations Division and the Police Disclosure and Quality Assurance Unit.
POSITION RESPONSIBILITIES
1. Operate within the regulations, policies, and procedures established by the Community Safety and Policing Act, the Belleville Police Service Board, and the Chief of Police.
2. Perform duties in a manner that reflects the Belleville Police Service Vision, Mission Statement, and Motto.
3. Support the Inspector of Operations and Staff Sergeant of Operations with scheduling coordination, monitoring of operational deadlines, and reporting.
4. Provide general administrative support to Sworn members.
5. Provide guidance and training to officers and staff on administrative tools, data entry expectations, system usage (NicheRMS, SCOPE), and workflow requirements.
6. Support onboarding of new officers by providing administrative orientation and resources.
7. Act as Commissioner of Oaths, as required.
8. Provide supplementary support to the PDQA Records Management Specialists during workload surges, system backlogs, or periods of annual leave.
9. Support the creation, maintenance, and updating of SharePoint pages, administrative resources, checklists, and process documentation for the operations division.
10 Assist with documentation of workflows associated with data integrity, court preparation, and file lifecycle management.
11. Perform other duties as required, assigned or directed by the Chief of Police or designate.
- COURT & BRIEF ADMINISTRATION RESPONSIBILITIES
12. Prepare, assemble, and manage court documents, subpoenas, disclosure packages, and Crown briefs, ensuring accuracy, completeness, and timely submission/disclosure for R vs Jordan timelines.
13. Provide administrative support for bail briefs and weekend wash-court coverage, ensuring operational continuity for frontline officers.
- TRANSCRIPTION, REPORT & TASK MANAGEMENT RESPONSIBILITIES
14. Transcribe and manage Community Response Unit, Traffic Safety Unit and Canine Unit dictations and ensure timely processing of supplementary and closing reports.
15. Monitor officer task lists and follow up with supervisors/officers to address overdue or incomplete administrative requirements (i.e. closing reports, Crown tasks, victim reports, disclosures).
16. Support ongoing monitoring of “not cleared – continuing” calls to ensure closure and coordinate follow-up with officers to support timely Uniform Crime Report (UCR) coding, Statistics Canada compliance and internal data quality and integrity.
17. Assist with classification of occurrences and support UCR coding accuracy and timelines by ensuring reports contain all necessary contextual information, in conjunction with the CPIC Validator.
18. Provide consistent oversight of file lifecycle milestones to prevent backlogs and maintain investigative and court-readiness standards.
- DATA SYSTEMS MANAGEMENT (NicheRMS, SCOPE) & QUALITY ASSURANCE RESPONSIBILITIES
19. Maintain and update NicheRMS and SCOPE entries, ensuring data accuracy, completeness, and adherence to established quality standards and timelines.
20. Assist in correcting data integrity issues including missing identifiers, linking errors, and duplicate entries.
21. Support validation workflows by ensuring closing reports and data elements are properly captured to reduce downstream corrections.

Education, Experience and Certifications
Required:
- Must possess a high-school diploma or equivalent.
- One (1) to two (2) years’ experience in administration required.
Preferred:
- Post-Secondary degree and/or diploma in related field is considered an asset.
- Previous experience with CPIC and NICHE is considered an asset.
