About the Role:
We are seeking a Medical & Cosmetic Administrator/ Patient Care Coordinator who is warm, friendly, and welcoming, as this is a front-facing role and often the first point of contact for our patients. The ideal candidate is highly organized, takes initiative, and thrives in a fast-paced environment.
This position involves a variety of responsibilities, so the ability to multitask effectively while maintaining a high level of professionalism and attention to detail is essential. The successful candidate will be comfortable with computers, adaptable, and eager to learn.
This role is perfect for someone with a genuine interest in the aesthetics industry, including treatments such as laser procedures, skin resurfacing treatments, and injectable services like Botox and dermal fillers, as well as medical-grade skincare. Ongoing learning and professional development are key components of this position.

Primary Duties & Responsibilities:
- Greet and check in patients in a warm, friendly, and welcoming manner
- Update and maintain accurate patient demographics and records
- Check out patients, process payments, and manage billing efficiently
- Educate patients on skincare products and aesthetic treatments, answering questions in a professional and knowledgeable manner
- Answer incoming calls and respond to voicemails promptly
- Monitor and respond to website inquiries in a timely manner
- Schedule and coordinate patient appointments effectively
- Maintain and order retail and clinic product inventory
- Perform inventory counts to ensure accuracy and organization
- Assist with the creation and distribution of monthly patient newsletters
- Proactively fill cancellations and schedule gaps to optimize provider schedules
- Communicate with product and treatment representatives as needed
- Remain adaptable and open to learning new tasks and responsibilities as the role evolves
Expectations:
- This role is ideal for individuals with a strong interest or passion for skincare, cosmetic treatments, or medical aesthetics
- Comfortable working in a clinical, fast-paced environment
- Strong communication, organizational, and multitasking skills
- Proficient with computers, including demonstrated efficiency with Microsoft Outlook.
- Experience with or knowledge of TELUS PS Suite EMR is preferred. Candidates should be comfortable learning and using electronic medical records (EMR) systems for scheduling, patient management, and clinical workflows.
