We are currently seeking an organized, proactive, and detail-oriented Project Coordinator to join our team in Kamloops, BC, supporting the construction of the two wood framed multifamily projects.
This position will be based primarily in Kamloops for the duration of the projects and will work closely with the Project Manager, Site Superintendent, consultants, subcontractors, suppliers, and ownership team to help ensure the successful delivery of the work.
Position Overview
The Project Coordinator plays an important role in supporting the day-to-day administration, coordination, documentation, and communication required to keep the Propolis projects moving efficiently.
The successful candidate will be comfortable working in a fast-paced construction environment, managing multiple priorities, following up with trades and consultants, maintaining accurate project documentation, and identifying items requiring action before they impact the project schedule.

Key ResponsibilitiesProject Coordination & Administration
- Support the Project Manager and Site Superintendent with the day-to-day coordination of the Propolis projects.
- Maintain organized and accurate project documentation, files, logs, and correspondence.
- Assist with tracking project schedules, milestones, deliverables, and outstanding action items.
- Coordinate communication between the project team, consultants, subcontractors, suppliers, and other stakeholders.
- Prepare and distribute meeting agendas, minutes, action lists, and project updates.
- Follow up on outstanding items to ensure information and decisions are received in a timely manner.
- Assist with maintaining current drawings, specifications, revisions, and construction documentation.
RFIs, Submittals & Shop Drawings
- Prepare, issue, track, and follow up on Requests for Information (RFIs).
- Coordinate and maintain submittal and shop drawing logs.
- Distribute reviewed shop drawings and consultant responses to the appropriate project team members.
- Monitor outstanding submissions and approvals to help prevent delays to procurement and construction.
- Ensure current documentation is available to the site team and affected trades.
Procurement & Trade Coordination
- Assist with procurement tracking for materials, equipment, and long-lead items.
- Coordinate with subcontractors and suppliers regarding required information, delivery dates, and project requirements.
- Assist the Project Manager with subcontractor scopes, tender documentation, purchase orders, and subcontract documentation as required.
- Monitor upcoming construction activities and help ensure required materials, approvals, and information are in place.
- Assist with identifying potential coordination issues and bringing them forward to the Project Manager and Superintendent.
Cost & Change Management
- Assist with tracking project costs, commitments, purchase orders, and subcontractor documentation.
- Maintain change order and contemplated change logs.
- Assist with obtaining and organizing subcontractor pricing for changes.
- Support the Project Manager with reviewing and documenting project changes.
- Assist with progress billing documentation and other project cost-control processes as required.
Site & Quality Coordination
- Maintain regular communication with the Site Superintendent and site team.
- Attend site meetings and coordination meetings as required.
- Assist with deficiency tracking, inspections, and project closeout activities.
- Help coordinate consultant reviews, inspections, and required documentation.
- Support the team in maintaining Live Edge Okanagan Builders' standards for quality, safety, professionalism, and organization.
Project Closeout
- Assist with compiling operations and maintenance manuals, warranties, as-built documentation, and other closeout requirements.
- Coordinate outstanding deficiencies and track them through completion.
- Assist with obtaining final documentation from subcontractors and suppliers.
- Support turnover and project completion activities.
Qualifications & Experience
The ideal candidate will have:
- Previous experience in a Project Coordinator or similar construction-related role.
- Experience in commercial, multi-family, institutional, or larger-scale construction considered an asset.
- Post-secondary education in Construction Management, Engineering, Building Technology, or a related discipline is an asset.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to maintain accurate project documentation.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Confidence communicating and following up with subcontractors, suppliers, consultants, and project stakeholders.
- Strong computer skills, including Microsoft Office.
- Experience with construction management, document control, scheduling, or project management software is considered an asset.
- Ability to read and understand construction drawings and specifications.
- Valid driver's licence and reliable transportation.

Location & Project Assignment
This position will be based in Kamloops, BC, with the Project Coordinator working directly in support of Live Edge Okanagan Builders' two wood framed multifamily projects.
The successful candidate will be expected to maintain a regular presence in Kamloops and work closely with both the on-site construction team and Live Edge Okanagan Builders' broader project management team.
