Medical Office Administrator (Family Medicine)

Responsibilities
- Welcome and register patients in a professional and courteous manner
- Answer and triage a high volume of telephone calls
- Schedule appointments and manage physician calendars
- Process specialist referrals, diagnostic imaging, laboratory requisitions, and follow-up appointments
- Manage incoming reports, specialist correspondence, and electronic faxes
- Maintain accurate electronic medical records
- Support physician roster management and administrative reporting
- Process insurance forms, medical forms, and medical record requests
- Communicate effectively with hospitals, specialists, pharmacies, laboratories, and allied health providers
- Maintain strict patient confidentiality in accordance with PHIPA
- Provide administrative support to physicians and assist with the daily operations of the clinic
Qualifications
Required
- Diploma or Certificate in Medical Office Administration (or equivalent)
- Minimum 2 years of experience in an Ontario family medicine clinic
- Excellent organizational and time management skills
- Strong communication and interpersonal skills
- Excellent customer service skills
- Strong computer proficiency
- Thorough understanding of PHIPA and patient confidentiality
Preferred Qualifications
- Experience with Avaros EMR (preferred)
- Experience with OSCAR, Accuro, or PS Suite EMRs
- Experience working in a Family Health Organization (FHO) or Family Health Group (FHG)
- Referral coordination experience
- Experience with OneID, Health Partner Gateway (HPG), and Health Report Manager (HRM)
- Experience using electronic fax systems
- Proficiency with Microsoft Outlook, Word, and Excel
