Job Overview
We are seeking a highly organized and hands-on Logistics & Procurement Coordinator to support ZS2's manufacturing operations.
This role is responsible for ensuring materials arrive when needed, inventory is accurate, shipments move efficiently, and procurement activities support production requirements. The successful candidate will work closely with Production, Project Management, Finance, and suppliers to ensure the smooth flow of materials from purchase order through delivery.
This is a practical, execution-focused role. You will spend time coordinating suppliers, arranging incoming and outgoing freight, managing inventory records, supporting receiving activities, maintaining procurement documentation, and solving day-to-day logistics challenges.

Shipping & Logistics
- Coordinate inbound and outbound shipments throughout Canada and the United States.
- Schedule freight and negotiate transportation rates with carriers.
- Track shipments and proactively address delays or transportation issues.
- Prepare and manage shipping documentation including bills of lading, commercial invoices, customs documentation, and proof of delivery records.
- Work closely with customs brokers and freight providers to support efficient cross-border shipments.
- Assist internal teams and customers with shipping and logistics inquiries.
Procurement & Supplier Management
- Source materials, equipment, and services from approved suppliers.
- Request and evaluate quotations while supporting cost-effective purchasing decisions.
- Create, maintain, and track purchase orders.
- Monitor supplier performance, delivery schedules, and lead times.
- Build and maintain strong working relationships with vendors and service providers.
- Support the development and maintenance of preferred supplier programs.
Inventory Management & Receiving
- Maintain accurate inventory records and support inventory control processes.
- Monitor stock levels and coordinate replenishment activities.
- Support and improve KanBan inventory systems and reorder-point planning.
- Assist with receiving, inspection, and documentation of incoming materials.
- Conduct cycle counts and inventory audits.
- Investigate and resolve inventory discrepancies.
Documentation & Systems
- Maintain accurate procurement, inventory, supplier, and shipping records.
- Update inventory, procurement, and logistics information within company systems.
- Develop reporting on inventory levels, supplier performance, freight costs, and material usage.
- Support continuous improvement initiatives that improve visibility, accuracy, and efficiency.
Cost Control & Continuous Improvement
- Track procurement and freight expenditures.
- Identify opportunities to reduce material, transportation, and handling costs.
- Support inventory optimization efforts to reduce shortages and excess stock.
- Recommend process improvements that improve operational efficiency and reliability.
Risk Management
- Ensure shipping and procurement activities comply with applicable company procedures and transportation requirements.
- Coordinate with suppliers, carriers, and brokers to minimize disruptions and delivery risks.
- Escalate issues early and support timely resolution of supplier, inventory, and transportation challenges.
What Success Looks Like
- Production materials are available when needed, while maintaining budgets.
- Inventory records are accurate and regularly reconciled.
- Purchase orders are issued and tracked without delays.
- Freight is booked efficiently, and shipments arrive on schedule.
- Customs and shipping paperwork is complete and accurate.
- Inventory visibility improves through disciplined processes and system updates.
- Procurement and logistics issues are identified early and communicated clearly.
Qualifications
Required
- Minimum 3-5 years of experience in procurement, logistics, inventory management, shipping coordination, or supply chain operations.
- Strong organizational and time-management skills.
- Experience managing purchase orders, inventory records, and supplier relationships.
- Proficiency with Microsoft Excel and Microsoft 365 applications.
- Excellent written and verbal communication skills.
- Strong problem-solving and analytical abilities.
- Ability to work independently while collaborating across multiple departments.
Preferred
- Experience within manufacturing, construction, industrial, or building materials environments.
- Experience with domestic and cross-border shipping.
- Knowledge of customs documentation and freight coordination.
- Experience using inventory management, ERP, or workflow systems such as Monday.com.
- Experience implementing or maintaining KanBan inventory systems.
- Post-secondary education in Supply Chain Management, Business Administration, Operations, or a related field.
- Professional designations such as SCMP, APICS, PMAC, or equivalent are considered assets.
