As we continue to grow, we are seeking a highly organized and proactive Project & Warranty Coordinator to support our development, construction, and homeowner warranty operations.
Position Summary
The Project & Warranty Coordinator plays a key role in supporting active construction projects while ensuring an exceptional homeowner experience following project completion. This position works closely with project managers, consultants, trades, municipalities, and homeowners to keep projects organized, on schedule, and professionally managed.
The ideal candidate is detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced environment.
Key ResponsibilitiesProject Coordination
- Support Project Managers throughout all phases of development and construction.
- Coordinate consultants, subcontractors, suppliers, and municipal agencies.
- Track project schedules, milestones, and action items.
- Prepare meeting agendas and distribute meeting minutes.
- Maintain project documentation, filing systems, and drawing revisions.
- Track Requests for Information (RFIs), submittals, shop drawings, and change orders.
- Coordinate inspections, testing, occupancy requirements, and permit documentation.
- Monitor outstanding project deficiencies and ensure timely completion.
- Assist with procurement, purchase orders, and material deliveries.
- Track project budgets, invoices, and contract documentation.
- Maintain accurate project reports and status updates.
Development Coordination
- Support rezoning, development permit, and building permit applications.
- Coordinate with architects, engineers, surveyors, and municipal staff.
- Track municipal comments, consultant deliverables, and approval timelines.
- Maintain development application records and submission schedules.
- Assist in preparing development reports and project documentation.
Warranty & Customer Care
- Serve as the primary point of contact for homeowner warranty inquiries.
- Coordinate deficiency repairs with subcontractors and service providers.
- Schedule homeowner walkthroughs and warranty inspections.
- Maintain warranty logs and service records.
- Track outstanding warranty items through to completion.
- Coordinate documentation related to 2-5-10 Home Warranty requirements.
- Ensure homeowners receive timely, professional communication throughout the warranty process.
- Identify recurring warranty issues and communicate trends to the construction team.
Administrative & Operational Support
- Maintain digital and physical project files.
- Assist with consultant and subcontractor agreements.
- Coordinate project meetings and follow-up on action items.
- Prepare correspondence, reports, and presentation materials.
- Support continuous improvement of project management systems and processes.
Qualifications
- 2–5+ years of experience in project coordination, construction administration, development, or warranty coordination.
- Experience with residential construction, multifamily, townhome, or condominium projects is preferred.
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- Ability to manage multiple projects simultaneously while meeting deadlines.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Experience with project management software such as Procore, Autodesk Construction Cloud, Buildertrend, or similar platforms is considered an asset.
- Familiarity with construction drawings and project documentation is an asset.
- Valid BC Driver's Licence and reliable transportation.
