Statut d’emploi : Permanent, temps plein (35 h/semaine), en présentiel; de 8 h 30 à 16 h 30;

Mode hybride (4 jours au bureau)

La personne retenue relève directement de la présidente-directrice générale. Elle offrira un soutien administratif de haut niveau à la présidente-directrice générale et au chef des opérations. Elle assurera également le bon fonctionnement quotidien du bureau de la Fondation.

La personne recherchée doit maîtriser parfaitement le français et l’anglais, être très organisée et doter d’excellentes compétences relationnelles et de communication. Elle s’épanouit dans un environnement dynamique exigeant une grande capacité à mener plusieurs projets de front et un grand souci du détail.

PRINCIPALES RESPONSABILITÉS

Gérer l’agenda de la présidente-directrice générale
Gérer les demandes de rencontre destinées à la présidente-directrice générale
Communiquer avec les membres du conseil d’administration, l’administration de l’hôpital, la direction de l’hôpital et les partenaires de la communauté
Déposer les documents du conseil d’administration sur un portail et veiller à leur bonne organisation;
Rédiger les ordres du jour et mettre à jour les documents pour les réunions de comités
Participer à la création de présentations PowerPoint
Rédiger des courriels au nom de la présidente-directrice générale à l’intention de différentes parties prenantes
Superviser la logistique associée aux réunions
Gérer la soumission des notes de frais de la présidente-directrice générale
Assister la présidente-directrice générale dans l’organisation de ses courriels
Effectuer toute autre tâche administrative requise

EXPÉRIENCE ET COMPÉTENCES

Minimum de deux ans d’expérience pertinente en administration
Diplôme d’études postsecondaires ou équivalent
Capacité à travailler en français et en anglais, tant à l’oral qu’à l’écrit
Grand souci du détail, capacité à mener plusieurs tâches de front et à travailler sous pression dans un environnement dynamique, tout en respectant des délais stricts
Grande capacité à hiérarchiser de multiples demandes et à travailler de manière autonome
Capacité à faire preuve de diplomatie, d’esprit critique et de jugement dans les communications avec des membres de la haute direction, à l’interne et à l’externe
Capacité à travailler dans un environnement respectueux et collaboratif, et à en faire la promotion
Discrétion dans le traitement de renseignements confidentiels
Capacité à faire preuve de jugement dans le traitement de dossiers sensibles
Aisance avec les plateformes en ligne
Excellentes compétences organisationnelles, relationnelles et en communication
Excellente maîtrise de Microsoft Outlook, Word, Excel et PowerPoint

Employment status: Permanent Full Time (35 hours per week), in person; 8:30 a.m. to 4:30 p.m. Hybrid (4 days in office)

Reporting directly to the President and CEO, the successful candidate will provide high-level administrative support to both the President and CEO, and the Chief Operating Officer, while helping to ensure the efficient day-to-day operation of the Foundation’s office.

The ideal candidate is fully bilingual, highly organized, possesses exceptional interpersonal and communication skills, and thrives in a fast-paced environment that requires strong multitasking abilities and attention to detail.

KEY AREAS OF RESPONSIBILITY

Manage the schedule of the President
Manage meeting requests for the President
Communicate with Board members, hospital administration, hospital leadership and community stakeholders
Upload Board documents on a portal and keep documents organized
Draft agendas and update documents for committee meetings
Assist in the creation of PowerPoint presentations
Draft emails on behalf of the President to different parties
Oversee logistics related to meetings
Manage submissions of expense reports of the President
Assist the President with the organization of email items
Other administrative tasks as may be required

EXPERIENCE

Minimum of 2 years of relevant experience in administration
Post-secondary education or equivalent
Ability to work in French and English, both spoken and written
Impeccable attention to detail, able to multitask and work under pressure in a fast-paced environment and respect strict deadlines
Strong ability to prioritize multiple requests and work independently
Ability to demonstrate diplomacy, critical thinking and thoughtfulness when communicating with senior level leadership inside and outside of the organization
Ability to work within and promote a respectful and collaborative work environment
Discretion when dealing with confidential information
Demonstration of critical thinking when handling sensitive matters
Comfortable with online platforms
Excellent organizational, communication and interpersonal skills
Excellent knowledge of Microsoft Outlook, Word, Excel and PowerPoint
