Full job description

Overview
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative support to executive and team members. The ideal candidate will possess excellent communication skills, strong attention to detail, and proficiency in various office software. This role offers an opportunity to work in a dynamic environment where your organizational skills and professionalism will be highly valued.

Responsibilities

Manage and maintain executives’ calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events efficiently
Handle incoming calls via multi-line phone systems with professional phone etiquette, directing inquiries appropriately
Prepare, proofread, and edit documents, correspondence, and reports to ensure accuracy and clarity
Perform data entry and filing tasks to organize digital and physical records systematically
Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial record keeping
Coordinate travel arrangements and prepare itineraries for business trips
Provide general administrative support such as photocopying, scanning, and organizing office supplies

Skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Experience with QuickBooks for bookkeeping and financial management
Strong organizational skills with the ability to prioritize tasks effectively
Excellent written and verbal communication skills with proper phone etiquette
Demonstrated clerical or administrative experience in an office setting
Ability to perform data entry accurately with a high level of attention to detail
Experience managing multi-line phone systems and front desk responsibilities
Capable of proofreading documents for grammatical accuracy and clarity
Familiarity with Microsoft Outlook Calendar for scheduling appointments
Knowledge of DocuSign for digital document signing processes

Pay: $17.20-$20.00 per hour
