The Order Entry & Inventory Coordinator plays a critical role in supporting our customer service, production planning, and inventory management functions. This position serves as a key link between customers, Sales, Production, Inventory, Quality Assurance, and Logistics teams to ensure accurate order execution, optimal inventory levels, and timely delivery of fresh, high-quality products. This is a full-time one (1) year temporary position, with the possibility of extension or becoming permanent.
This is a fast-paced, detail-driven role requiring strong organization, communication, and problem-solving skills. The successful candidate will balance administrative responsibilities with hands-on operational involvement, proactively identifying challenges, coordinating solutions, and supporting the team in delivering exceptional service to our customers. Key Accountabilities:
- Receive, review, enter, and maintain customer orders with exceptional accuracy and attention to detail.
- Verify order details, pricing, quantities, product availability, shipping requirements, and customer specifications.
- Manage order changes, adjustments, cancellations, rejections, and follow-ups in a timely manner (customer orders change frequently!)
- Perform daily inventory transactions, adjustments, and data entry within ERP systems
- Monitor inventory levels and coordinate ordering requirements to meet forecasted and actual customer demand
- Work closely with team members to support production planning, reporting, and resolution of customer issues
- Communicate inventory status, shortages, and upcoming needs to Production, Sales, Inventory, and QA teams
- Identify and escalate inventory risks, shortages, quality concerns, and operational challenges to minimize losses and service disruptions
- Forecast short- and long-term produce and material requirements while considering production schedules, customer commitments, and inventory availability
- Coordinate, allocate, and reconcile inventory for production requirements across facilities

Education and Experience:
- Minimum 2 years progressive experience in a similar role involving order coordination, inventory management, production support, or supply chain administration.
- Experience within the fresh produce, food manufacturing, warehouse, distribution, or retail industry considered a strong asset
- Proficient in Microsoft Excel, including data entry, formatting, formulas, and basic reporting
- Experience with an ERP system, preferably Microsoft Dynamics 365 considered an asset
- Post-secondary education in a related field considered an asset
Working Conditions
- This is an in-office role, Tuesday to Saturday
- Work is a mix of sedentary tasks at a desk/computer (80%) and being on your feet in a warehouse/production area (20%) and the coolers will keep you fresh like our produce
- Our office team (12 people) is positive and supportive. We also like to eat cake.
- Our work fluctuates with demand. Occasionally, extended hours or evening/weekend/holiday work may be required
