Position Summary

Reporting to the Clinical Operations Director and Medical Coordinator, the Senior MOA fulfils the responsibilities set out in the MOA job description and additionally assumes responsibilities for overseeing clinical operations and supervision. The Senior MOA contributes to all aspects of clinic operations and patient care, providing detailed and pro-active administrative and clinical support to patients and colleagues in a team-based environment. Working to full scope, the Senior MOA is committed to supporting the provision of longitudinal primary care to patients with complex health and social needs, and approaches this task with empathy and cultural humility. The Senior MOA also liaises with the Operation Manager to ensure that the MOA team is supported. The clinic is open extended hours and the post-holder may be required, in cooperation with other MOAs, to work on weekends and evenings, and in rare instances, provide short notice cover for sickness absence.

Responsibilities

The Senior MOA will take on the role of an MOA with additional tasks that include:

Maintains oversight of MOA workflow to ensure the smooth running of front desk operations and patients’ access to care.
Effectively and regularly communicates with team mates regarding workflow.
Ensures front desk is appropriately staffed at all times.
Assists the Clinical Operations Director and Medical Coordinator in recruiting and interviewing MOAs.
Leads the orientation and training of new MOAs.
Ensures that the reception area, waiting room and noticeboards are clean, tidy and free from clutter and/or outdated content.
Assumes or shares responsibility for creating provider schedules.
Acts as a point of contact for troubleshooting issues that impact patient care.
Proactively prepares for clinic closures, including schedules, phone diverts and patient communication.
Generates reports as applicable to the MOA role: daily counts, 3rd next, eftpos reconciliation.
Performs other related duties as assigned by the Operations Manager.

Qualifications and Skills

Certification as a Medical Office Assistant from an accredited educational institution, or equivalent experience.
A minimum of 5 years practical experience in a similar position.
Understanding of aseptic and sterile technique and universal precautions.
Excellent knowledge of medical terminology.
Experience of using electronic medical records, OSCAR preferred.
Experience working with clients with complex social and health conditions.
Willingness to undertake training including Basic Life Support and naloxone administration, and maintain certification where applicable.
Demonstrates critical thinking, ability to anticipate needs, compassion and patient centered care.
Able to manage multiple conflicting priorities.
Able to communicate effectively as part of a high performing team in a dynamic and fast-paced environment.
Organized and attentive to detail, at all times.
Excellent time management skills.
Able to recognize and respond appropriately to urgent/emergent situations.
Proven ability to accurately take and record vital signs and to assist with procedures and exams.
Ability to undertake the physical requirements of the position.
Ability to speak another language an asset.
Experience or interest in coaching and training other MOAs
Experience or interest in clinical operations and reporting
Excellent time management
Demonstrated attention to detail at all times
Advanced de-escalation skills
