Job Overview
Join our dynamic healthcare team as a Patient Experience Administrator, where your enthusiasm and organizational skills will elevate patient interactions and streamline office operations. In this vital role, you will serve as the first point of contact for patients, ensuring a welcoming environment while managing administrative tasks with precision. Your proactive approach will help foster positive patient experiences, support clinical staff, and maintain efficient office workflows.
At our chiropractic practice, our goal is simple: we strive to be the best part of our patients' day.
We operate as a finely tuned team where every interaction is centred entirely around the patient. We like to compare our working style to ducks on the water—cool, calm, collected, and warm on the surface, while working efficiently, meticulously, and effectively beneath the surface. We are constantly visualizing possibilities for our patients' health and our team’s growth.
This position offers an exciting opportunity to contribute to a compassionate healthcare setting that values dedication, professionalism, and excellent communication. If you're excited to be part of an upbeat, supportive team where relationships truly matter and every day is different, and that's part of the fun, we want you to apply.
Key Responsibilities
- Patient-Centric Connection: Welcome patients into our office, ensuring every interaction feels warm, empathetic, kind, and focused entirely on them.
- Administrative Operations: Manage daily front-desk operations seamlessly, including appointment scheduling, optimizing provider availability, payment collection, client check-ins, and accurate record-keeping.
- Mastering the Flow: Maintain grace under pressure by balancing meticulous & accurate administrative task execution with authentic relationship-building.
- Confidentiality & Compliance: Strictly maintain patient confidentiality and privacy across all communication channels, processes, and procedures.
- Clear & Professional Communication: Provide flawless written and verbal communication across all touchpoints (in-person, text messaging, email, and phone). Naturally balancing professionalism with warm, concise communication.
- Problem-Solving: Act as an engaged, critical thinker who proactively identifies solutions for both team operations and patient care. Active listening with empathy is crucial.
What We Are Looking For
- Reliable & Dependable: You show up consistently, value punctuality, and take complete ownership of your responsibilities.
- Highly Organized: You thrive on order and structure, keeping tasks prioritized and systems running efficiently without letting details slip through the cracks.
- Meticulous & Accurate: You have close attention to detail and take pride in precise, accurate work.
- Genuinely People-Focused: You naturally connect with people, showing deep empathy, kindness, and warmth.
- Tech-Savvy: You are comfortable working with cloud-based software. Experience with Jane App (Jane Software) is a strong advantage, but a high comfort level learning new platforms quickly is required.
- Polished Communicator: You effortlessly balance professional conciseness with genuine warmth, using proper grammar, spelling, and punctuation.
- Calm & Poised Under Pressure: You excel at staying calm and collected while managing administrative multitasking.
