Full job description

We are looking for an Administrative Coordinator to support service delivery for senior-focused community programs in York, Ontario. This Contract position plays an important role in organizing client service schedules, responding to administrative inquiries, and helping ensure care plans are reflected accurately in daily operations. The successful candidate will bring strong coordination skills, sound judgment, and the ability to work effectively with both internal teams and external stakeholders.

Responsibilities:

Coordinate service bookings for seniors' programs, adjusting appointments as needed to address changes, cancellations, and related client concerns.
Respond to questions about scheduling, service access, and account-related matters, escalating more complex issues to management when appropriate.
Liaise with case workers and leadership to help align service delivery with established client care plans and program needs.
Maintain accurate departmental files, service records, statistical information, and other required documentation in a timely manner.
Use electronic scheduling tools to organize client visits and monitor updates to service calendars.
Support smooth day-to-day administrative operations by communicating clearly with team members, clients, and community partners.
Contribute to service continuity by identifying scheduling conflicts and helping resolve operational challenges efficiently.
Carry out additional administrative or program-related tasks assigned by the Program Manager.
Community college diploma in a related discipline.
At least 2 years of relevant experience, preferably within healthcare, hospitals, or social assistance environments.
Minimum 2 years of hands-on experience using electronic scheduling systems.
Strong organizational skills with the ability to manage multiple priorities and deadlines at once.
Demonstrated problem-solving ability and sound decision-making skills in a fast-paced setting.
Effective communication and interpersonal skills, with the ability to collaborate across multidisciplinary teams and with external stakeholders.
Proficiency with Microsoft Office, client information systems, and scheduling software.
Willingness to complete a criminal record screening, with all candidates required to undergo screening, and work flexible hours, including weekends and some statutory holidays as required.
