Litigation Legal Assistant - Mid Size Law Firm - Downtown Vancouver

About The Firm

We are supporting a mid-sized, national law firm focused on delivering high quality legal services to Indigenous people, communities, and organizations. They are a national leader in Aboriginal law with offices in Victoria, Vancouver, Toronto, & Kahnawake, and opening soon in Montreal and Calgary. About The Role

We are looking for a Legal Assistant to join our energetic and passionate team. This role is best suited to an individual that is motivated, organized, adaptable, and takes initiative. The primary responsibility of this role is to support three lawyers, and work with the paralegal and legal support teams to ensure the seamless operation of the firm.

Core Responsibilities

Manage calendars and schedule appointments using Outlook and various planning tools.
Oversee and update both electronic and physical “Bring Forward” systems for task and document management.
Complete monthly reconciliations of expenses for assigned lawyers.
Provide support for litigation, negotiations, and regulatory matters, including preparing specialized documents for court and other agencies.
Organize and manage complex electronic and paper filing systems, handling file openings, updates, and closures.
Draft, edit, format, and organize various materials, including correspondence, memos, reports, court documents, and labels, for electronic or print use.
Arrange meetings, including preparation of documents, catering, and logistical support.
Manage client documentation, pleadings, corporate records, briefs, and reports, ensuring they are well-organized and accessible.
Support with reviewing, assembling, and organizing documentary evidence for complex cases.
Schedule court appointments, trials, and judicial review hearings by coordinating with court offices.
Interpret court rules for multiple jurisdictions (e.g., BC Supreme Court, BC Court of Appeal, Federal Court, Ontario Superior Court, and Supreme Court of Canada).
File and coordinate the service of court documents.
Handle scanning and photocopying of necessary documents.
Schedule and coordinate frequent travel arrangements.
Perform additional administrative tasks as needed to support the team.

Requirements and Qualifications

The Ideal Candidate

Be a graduate of an accredited Legal or Administrative Assistant program or possess equivalent experience.
Have 3+ years of experience as a Legal Assistant in Litigation.
Good knowledge of BC Courts and Systems.
Must be proactive, self-motivated and and confident completing tasks, handling documents independently.
Demonstrate strong organizational and prioritization skills, with the ability to work independently.
Excellent communication and interpersonal skills.
Must have experience scheduling travel arrangements.

Work Structure

This is a full-time permanent position approximately 37.5 hours per week.
The expectation is for this candidate to be in office every day during the initial 6 months probation period, and thereafter they can work from home up to 3 days a week.
