Full job description

Receptionist / Legal Assistant

We are seeking a professional, organized, and client-focused Receptionist / Legal Assistant to join our team. Law office experience is preferred, and a Legal Assistant, Law Clerk, or Office Administration (Legal) certificate is considered an asset.

The ideal candidate will provide exceptional customer service and administrative support while serving as the first point of contact for clients and visitors. We are looking for a proactive, resourceful individual who demonstrates strong problem-solving skills, takes initiative, and can work independently in a fast-paced legal environment.

Duties and Responsibilities

Greet and welcome clients and visitors in a friendly, professional, and courteous manner
Answer incoming telephone calls, schedule appointments, and respond to client inquiries
Perform data entry tasks accurately and efficiently
Maintain a clean, organized, and professional reception area
Assist with clerical and administrative tasks, including filing, scanning, faxing, and photocopying
Handle client intake, registration, and identification verification
Provide administrative support to lawyers and staff as required
Assist with the coordination of office operations and client communications

Qualifications

Previous experience as a Receptionist, Front Desk Administrator, or in a similar administrative role
Experience working in a law office is preferred
Strong customer service and interpersonal skills
Excellent verbal and written communication abilities
Proficiency with computerized scheduling systems and office software
Strong organizational, multitasking, and time-management skills
Demonstrated problem-solving abilities with a resourceful and proactive approach to handling day-to-day challenges
Self-directed and able to work independently with minimal supervision while effectively managing competing priorities
Ability to exercise sound judgment, take initiative, and anticipate office needs
Detail-oriented with a commitment to accuracy, professionalism, and confidentiality
High school diploma or equivalent required
Legal Assistant, Law Clerk, or Office Administration (Legal) certification is an asset
