Your Opportunity:

This is your opportunity to join a Facilities Maintenance Team at Alberta Children's Hospital. We are looking for an administrative assistant who is a highly organized, motivated person to support the smooth, efficient delivery of FM&E services. You will be providing administration assistance with strong understanding of payroll processes along with time entry validation, coordinating contractors, issuing site access and site permits. Assigning service requests to the FM&E team. Day to day administrative support to Management. Preparing agendas, taking minutes and coordinating meetings, report preparation. This position may be required to work at the following sites as needed: Richmond Road Diagnostic Treatment Centre, Sheldon M. Chumir Health Centre, and Southern Alberta Forensic Psychiatry Centre.

Required Qualifications:

Completion of Grade 12 or equivalent.

Additional Required Qualifications:

Strong written and verbal communication skills are essential for success in this position. Must be able to read/write and speak fluent English. The successful candidate must have a strong background in administration/reception support with attention to detail, ideally with 3- 5 years institutional/hospital or operations experience in an administrative assistant role. This candidate must have experience supporting payroll and workforce scheduling systems. Must be able to attend meetings and take minutes with edits and distribution. This candidate must demonstrate excellent customer service background with direct engagement with frontline staff and public inquiries. Required to demonstrate time management skills with the ability to manage competing demands. Proficient in office software and admin systems (e.g. Microsoft Office, Excel, Work order systems CMMS). Must be physically fit, able to lift 20lbs floor to waist. Walk, sit and stand for long periods of time. Required to be able to work in a collaborative team environment, adoption and input in the HSS safety culture. Required to be able to type 30-70 WPM and be highly accurate. Must be proficient in data and file management skills. Ability to work independently.

Preferred Qualifications:

Be familiar with work orders or computerized maintenance management software (CMMS). Have intermediate technical/maintenance background with experience in dispatching & facilities operations. Post-secondary Office Admin certificate. Experience with record management, strong data entry. Ability to engage & coordinate multiple stakeholders in a fast-paced environment. Experience in continuous improvement or process optimization (LEAN). e-Facilities, e-People, Markview, iProcurement experience.
