We work closely with property managers, condominium corporations, and residents to deliver reliable service and improve building performance.
Job Summary
We are seeking an experienced Senior HVAC Service Dispatcher to manage a dedicated team of in-suite HVAC technicians and take ownership of service jobs from the initial request through scheduling, completion, invoicing, and follow-up.
This is not an entry-level receptionist position. The successful candidate must have previous experience performing a similar role for an HVAC or mechanical service company. You must be comfortable reading technician work orders, preparing quotes and invoices, coordinating follow-up work, and communicating professionally with residents, technicians, suppliers, and property managers.
This is a full-time, in-person position, Monday to Friday.
Duties
Schedule and dispatch a dedicated team of approximately three to six HVAC service technicians.
Keep assigned technicians fully booked and working toward daily revenue targets.
Respond quickly to new service requests and approved jobs.
Assign work based on each technician’s experience, strengths, specialties, and availability.
Coordinate service appointments using three-hour arrival windows.
Review technician work orders, notes, photos, findings, and recommendations after each job.
Identify missing information and follow up directly with technicians when work orders are unclear or incomplete.
Prepare and send service quotes based on technician findings.
Create and send invoices for completed service jobs.
Schedule return visits and communicate follow-up requirements to customers and property managers.
Track each assigned job from the initial request through final invoicing and completion.
Monitor approved jobs and action-required items to prevent backlogs.
Communicate professionally with residents and property managers by phone, email, and text.
Coordinate parts, materials, and equipment with technicians and suppliers when required.
Maintain accurate job, customer, equipment, quote, invoice, and scheduling information in Jobber.
Understand each assigned technician’s capabilities and ensure the team can handle heat pump installations, mould and drain pan work, diagnostics, investigations, and general HVAC repairs.
Support technician productivity while maintaining a high standard of customer service and communication.
Qualifications
Previous experience working as an HVAC dispatcher, HVAC service coordinator, HVAC customer service coordinator, or in a similar HVAC office role is required.
Applicants must have previously performed substantially the same type of job for an HVAC or mechanical service company.
A minimum of two to three years of relevant HVAC dispatch or service coordination experience is preferred.
Experience scheduling and managing multiple HVAC service technicians.
Ability to read and understand HVAC work orders, technician notes, equipment information, repair recommendations, and diagnostic findings.
Ability to prepare HVAC service quotes and invoices with limited supervision.
Working technical knowledge of HVAC equipment, terminology, parts, repairs, fan coils, heat pumps, and replacement work.
Experience coordinating follow-up repairs, return visits, and equipment replacements.
Strong organizational skills and the ability to manage a high volume of active jobs.
Excellent attention to detail and the ability to prevent missed invoices, quotes, and follow-ups.
Strong judgment when assigning work to technicians based on their skills and experience.
Ability to work independently and take ownership of assigned technicians and jobs.
Excellent spoken and written English is required.
Applicants must be confident, clear, and professional on the phone.
Strong phone etiquette and customer service skills are essential.
Must be comfortable speaking with residents, condominium managers, technicians, and suppliers throughout the day.
Must be available to work in person, Monday to Friday.
Software Experience
Experience using Jobber is strongly preferred.
Experience with ServiceTitan, Housecall Pro, Workiz, or another field-service management platform will also be considered.
Candidates should be comfortable using scheduling, quoting, invoicing, email, and customer service software.
Compensation
$60,000 to $75,000 per year, depending on HVAC dispatch experience, technical knowledge, software experience, and quoting ability.
Additional performance-based compensation may be available based on technician productivity, revenue targets, invoicing speed, customer service, and backlog management.
