POSITION SUMMARY
Reporting to the Associate Director of People and Culture, the Coordinator, People & Culture is responsible for a wide range of HR tasks for both employees and volunteers, including recruitment, onboarding, benefits and payroll processing, and maintaining the human resources database and files. The Coordinator, People & Culture, manages the accurate entry and maintenance of employee records with close attention to detail. This role plays an important part in supporting our growing team of employees and volunteers, taking on a variety of HR responsibilities with particular enthusiasm for creating structured workflows and accurately administering HR and Volunteer data.

Artificial Intelligence: AI-supported tools may be used in parts of the selection process to help evaluate applications; however, our HR system itself does not include any AI functionality. All hiring decisions are made by people.
Compensation:
To ensure fair and equitable pay, placement within the salary range will be based on your experience, skills, and qualifications relevant to the role. Hiring salary range: $45,000 to $55,000. KEY RESPONSIBILITIES
- Bi-weekly payroll: Perform full-cycle bi-weekly payroll processing for all salaried and hourly employees, ensuring all related reconciliations and remittances are accurate and completed, and reports are submitted on time. Advanced Excel skills (Pivot Tables, XLOOKUP/VLOOKUP)
- Strong analytical, problem-solving, and organizational skills with close attention to detail.
- Provide payroll-related assistance to managers and employees. Track employee data - vacation, sick, and leave balances to ensure compliance with company policies and report accurate data to the accounting team.
- Employee recruitment: Assist with the recruitment process for employees, including posting opportunities, screening applicants, coordinating interviews, and conducting reference and background checks, in accordance with established recruitment practices and relevant legislation.
- Volunteer recruitment: Assist with the recruitment and screening of volunteers, including posting opportunities, coordinating interviews, and verifying required documentation (e.g., background and reference checks).
- Employee onboarding: Coordinate onboarding for new employees, ensuring they are equipped with the necessary resources, training, and support to integrate into their roles effectively.
- Volunteer onboarding: Coordinate onboarding and orientation for new volunteers, ensuring they receive the necessary paperwork.
- Employee records maintenance: Track and maintain all employee information—including personal details, compensation, new hire documents, and employment history—keeping records up-to-date and accurate.
- Volunteer records and clearances: Maintain accurate volunteer records following onboarding, and track required clearances and declarations (e.g., Police Vulnerable Sector Checks) to ensure they remain valid and compliant with organizational policies and relevant legislation.
- HR data integrity: Verify and coordinate the processing of all employment-related transactions, such as new hires, status changes, benefits enrollment and payroll processing. Complete bi-weekly HR data integrity checks to ensure the tasks have been completed accurately,
- HR Manual: Maintain accurate records and keep regular updates of the HR Manual
- Performance evaluation support: Assist with administering the annual performance evaluation process.
- Administer employee benefits programs: Coordinate health insurance, retirement plans, and other employee benefits.
- Employee engagement events: Plan, coordinate, and execute employee engagement events and initiatives, such as team-building activities, wellness events, staff appreciation days, holiday celebrations, and recognition programs, to strengthen workplace culture and foster a positive, connected employee experience.

QUALIFICATIONS / KNOWLEDGE REQUIRED
Education & Experience:
- College diploma in human resources or another related field.
- Payroll Compliance Practitioner (PCP) designation is an asset.
- Experience in full-cycle payroll processing.
- 3+ years of relevant or progressive experience in the Payroll and/or Human Resources or Administration field.
Skills, Knowledge, & Abilities:
- Ability to work with highly confidential, sensitive information professionally.
- Excellent analytical skills, attention to detail and accuracy.
- Knowledge of accounting principles to understand payroll complexities and for accurate maintenance of payroll records and procedures.
- Thorough working knowledge of the Employment Standards Act, Canada Revenue Agency legislation, and other applicable legislation, as well as internal policies and procedures.
- Commitment to the highest ethical standards and dedication to the organization’s mission and values.
- Superb interpersonal and communication skills.
- Proven organizational and time management skills with keen attention to detail.
- Ability to climb stairs.
Other Requirements:
- Clear two-step TB test.
- Valid driver's license with a healthy driving record and consistent access to a motor vehicle with appropriate auto insurance.
- A satisfactory Police Vulnerable Sector Check is a condition of employment.

Hours of Work:
- Rotating schedule Monday – Thursday, 9:00 am – 5:30 pm, and Tuesday to Friday, 9:00 am to 5:30 pm

Travel: Occasional travel is required for recruitment and retention initiatives for employees and volunteers.
