Position Overview & Schedule
This is an entry-level position focused on welcoming guests, keeping our office space running smoothly, and providing essential administrative support.
We are looking for a candidate interested in a part-time to full-time schedule (minimum 20 hours/week). This role allows for flexibility in establishing regular working hours, which will take place on weekdays (Monday through Friday) during daytime business hours.
The Role & Primary Responsibilities
Front Desk & Hospitality:
- Reception: Warmly greet clients, visitors, and guests upon arrival to the office.
- Communication: Answer, screen, and direct incoming telephone calls with a cheerful, polite, and professional demeanor.
- Customer Service: Maintain positive and effective communication with internal team members, clients, and visitors.
Office Upkeep & Daily Operations:
- Office Maintenance: Ensure the front desk, reception area, and general office spaces remain clean, organized, and welcoming.
- Supplies Management: Monitor, order, and maintain inventory for office supplies and kitchen amenities.
- Mail & Deliveries: Receive, sort, and distribute incoming mail, courier packages, and deliveries.
Electronic Document Control & Administration:
- Paperless Filing: Organize, file, and integrate electronic documents into internal office systems.
- Data Entry: Accurately enter and update information across company databases and software.
- General Admin Support: Assist technical staff and leadership with general administrative tasks such as scanning, digital document compilation, and other entry-level support duties as assigned.
Qualifications: Your Path to Success:
- Education: High school diploma or equivalent.
- Communication: Good oral and written communication skills with strong interpersonal abilities.
- Detail-Oriented: Meticulous attention to detail with strong organization and multi-tasking abilities.
- Computer Literacy: Very strong general computer skills are essential, as our office operates in a primary paperless environment. Strong typing and keyboarding skills are required.
- Software Proficiency:
- MS Word: Ability to manage style sets and format documents or reports for professional presentation.
- MS Excel: Competency with data entry, simple formulas, conditional formatting, and data manipulation.
- MS Outlook: Proficiency in managing emails, task lists, contacts, calendars, and shared folders.
- Work Ethic: Professional demeanor, excellent attendance record, and a strong work ethic.
