SE Design is seeking a full-time, experienced Senior Bookkeeper/Accountant for an in-office position in our Cold Lake, Alberta location. This is not a remote or hybrid position. This position is responsible for the day-to-day accounting and financial administration of SE Design and an affiliated company. The ideal candidate is a dependable, analytical, and highly organized professional who can manage competing priorities, maintain confidentiality, improve processes, and consistently meet reporting and payroll deadlines.
Responsibilities and Duties
The successful candidate will manage full-cycle accounting for multiple companies and work closely with ownership, management, project staff, and external financial professionals. Responsibilities include:
- Maintain accurate general ledgers and accounting records for multiple companies.
- Manage full-cycle accounts payable and accounts receivable, including vendor setup, payment processing, customer invoicing, collections, and aging reviews.
- Prepare and issue client invoices using Factor, ensuring project phases, billing rates, time entries, expenses, change orders, and supporting documentation are accurate and complete.
- Complete bank, credit card, financing, and intercompany reconciliations and investigate discrepancies.
- Coordinate the complete payroll cycle, including timesheet review, regular and overtime calculations, banked time, employee changes, taxable benefits, source deductions, payroll reconciliation, and Records of Employment.
- Prepare and file GST returns and WCB reporting, and support other regulatory and statutory requirements.
- Prepare and review financial reports, including income statements, balance sheets, accounts receivable and payable aging, and supporting schedules.
- Prepare weekly cash-flow reporting, coordinate payment requirements, and provide timely financial information to ownership for decision-making.
- Support project accounting through project setup, invoicing, work-in-progress review, revenue reconciliation, and verification between the project management and accounting systems.
- Maintain employee benefit, paid-time-off, and banked-time records and assist with employee onboarding, offboarding, and other payroll-related administration.
- Develop, document, and maintain accounting controls, reconciliations, procedures, and workflow improvements.
- Administer and support accounting, payroll, payment, and project-management systems, including data accuracy and process integration.
- Coordinate year-end working papers, reconciliations, and supporting documentation for external accountants and financial advisors.
- Provide day-to-day guidance and task coordination to administrative and junior accounting staff, as required.
- Perform other accounting, financial, and administrative duties as required.
Skills and Qualifications
- Accounting diploma, degree, professional bookkeeping designation, or an equivalent combination of education and experience.
- Minimum five years of progressive full-cycle accounting or bookkeeping experience; experience with multi-company or project-based accounting is preferred.
- Strong understanding of general ledger accounting, payroll, accounts payable, accounts receivable, reconciliations, and month-end procedures.
- Experience preparing financial reports and supporting year-end working papers and adjusting entries.
- Advanced proficiency in Microsoft Excel and strong experience with computerized and cloud-based accounting systems; QuickBooks Online experience is preferred.
- Experience with payroll, project-management, and electronic payment platforms such as Payworks, Factor, and Plooto is considered an asset.
- Strong analytical and problem-solving skills, with exceptional accuracy and attention to detail.
- Ability to manage confidential information, work independently, prioritize competing deadlines, and communicate clearly with employees, management, clients, and vendors.
- A satisfactory criminal record check is required.
