As we continue to grow, we are looking for a Technical Parts & Service Coordinator to support our GTA Service team. About the Role
This is a technical coordination role focused on supporting equipment repairs through accurate parts coordination, deficiency management, and repair quotation preparation.
Working closely with Technical Leads, Service Managers, Field Service Technicians, and the Parts Department, you will review equipment deficiencies, determine repair requirements, coordinate replacement parts, and prepare quotations that help our customers return their equipment to service quickly and efficiently.
The ideal candidate enjoys solving technical problems, coordinating multiple priorities, and working in an environment where no two days are the same. Previous experience with industrial equipment, diesel engines, generators, heavy equipment, automotive, or mechanical service environments is highly valued.
Key ResponsibilitiesParts Coordination & Deficiency Management
- Review incoming equipment deficiencies and prioritize repair requirements.
- Work closely with Technical Leads to determine accurate repair paths and minimize repeat service visits.
- Identify, coordinate, and track all parts required to complete repairs.
- Collaborate with the Parts Department to ensure timely availability of required components.
- Review oil sample reports (Fluidlife) and coordinate follow-up repairs when required.
- Support warranty claim administration and deficiency resolution.
- Maintain deficiency tracking databases and monitor outstanding repairs.
- Ensure technicians have the required parts available before scheduled repairs whenever possible.
- Coordinate replacement parts for emergency and planned maintenance activities.
Technical Quoting & Repair Planning
- Prepare detailed repair quotations based on technician reports, equipment deficiencies, and required replacement parts.
- Work closely with Service Managers and Technical Leads to develop accurate repair scopes.
- Coordinate quotations from third-party vendors including electricians, crane companies, rental suppliers, and specialty contractors.
- Review quotation turnaround times to ensure timely customer response.
- Support the Estimating Team on larger repair projects and equipment upgrades.
- Ensure quotations are technically accurate, complete, and commercially competitive.
Service Coordination
- Schedule and coordinate field service technicians for repairs, preventative maintenance, and emergency service calls.
- Coordinate subcontractors and external vendors as required.
- Monitor work order progress and adjust schedules to meet changing customer priorities.
- Coordinate labour, parts, and equipment to maximize technician productivity.
- Assist with service work order management from initial request through completion and invoicing.
- Support safe job planning and technician resource allocation.
Customer Service
- Serve as a primary point of contact throughout the repair process.
- Provide customers with timely updates regarding repair status, quotations, and scheduling.
- Support key customer accounts and service programs.
- Build positive customer relationships through responsive, professional communication.
- Work collaboratively with Customer Service Representatives to deliver an outstanding customer experience.
Administration
- Create, update, and close service work orders within the ERP system.
- Maintain accurate customer, equipment, and service records.
- Prepare invoices following completed repairs.
- Maintain documentation related to deficiencies, quotations, warranty claims, and service history.
- Support continuous improvement initiatives within the service department.
Qualifications
- 2+ years of experience in a Parts Coordinator, Parts Advisor, Technical Service Coordinator, Service Advisor, Warranty Administrator, Service Coordinator, or similar technical support role.
- Experience identifying mechanical, electrical, diesel, generator, heavy equipment, or industrial replacement parts.
- Experience preparing repair quotations or technical estimates.
- Strong understanding of mechanical or industrial equipment.
- Excellent organizational skills with the ability to manage multiple priorities simultaneously.
- Strong customer service and communication skills.
- High attention to detail and excellent problem-solving ability.
- Strong computer aptitude and the ability to quickly learn new software and internal systems.
- Proficiency with Microsoft Office (Excel, Outlook, Word).
- Experience with ERP systems (Odoo or similar) is considered an asset.
- Experience within power generation, heavy equipment, construction equipment, diesel engines, automotive, industrial equipment, or related industries is strongly preferred.
- Post-secondary education in a technical, mechanical, electrical, business, or related discipline is considered an asset.
