Landform Inc. is a landscape construction company established in 2003 that services Calgary and the surrounding area. We offer Landscape Construction and Landscape Maintenance, creating and maintaining meaningful spaces such as parks, playgrounds, and restoration projects. In the winter, we continue to support communities by offering Snow Removal services.
Our Administrative Assistant is about to go on maternity leave, and we need someone great to step into her shoes for a while. This is a full-time, temporary, in-office role that puts you right at the centre of everything: phones, people, paperwork, and the occasional dishwasher emergency. No two days look quite the same, and that's exactly the point. If you're organized, personable, and genuinely enjoy being the person who keeps a busy office running, we'd love to meet you.
Key Job Functions:
General Administration
- Own the front desk: greeting visitors, managing the sign-in sheet, answering phones, and staying on top of email with clear, proactive communication.
- Keep the office running smoothly: maintain a tidy space, manage supply inventory, and coordinate incoming and outgoing mail (including regular runs to our mailbox).
- Maintain our digital and physical filing systems.
- Support various departments with data entry and document preparation.
- Coordinate with IT for workstation setup and troubleshooting.
- Build a working knowledge of our internal software (LMN, B2W, SiteDocs) to help new hires with logins and basic onboarding.
- Pitch in when other teams need a hand.
Meetings & Reporting
- Prepare and update slideshows for our weekly Supervisor, Foreman, and Crew Lead meetings.
- Keep the scoreboard current through the summer season (Friday updates are a team effort).
- Take notes and track action items during our all-hands meeting.
HR Administration
- During peak hiring seasons, help schedule and coordinate interviews, print interview packages, and call candidates to book them in.
- Support new employee orientations.
- Track work anniversaries and hand out the goods: t-shirts and hoodies. (Yes, you get to be the one who delivers the good news.)
Accounting Administration
- Contribute to accounts receivable collections to help keep cash flow healthy, keeping leadership posted on what to expect and when.
Events & Culture
- Help plan our seasonal events: spring, summer, fall, and winter festivities.
- Publish our monthly newsletter and keep our social media presence active, about one post a week, working alongside our marketing team.
- Report safety hours to our clients.
- Keep tabs on swag and safety vest inventory, timing orders ahead of our big hiring pushes each fall and spring.
Who You Are
- Strong written and verbal English communication skills.
- Proficient in Microsoft Office and Google Suites.
- Highly reliable and punctual.
- Strong organizational and time management skills.
- Able to multitask and meet deadlines.
- High attention to detail.
- Comfortable learning new systems and processes, and ready to pick up an existing routine quickly.
- Demonstrates professionalism with staff and customers.
- Maintains organized records and confidentiality to support a positive company culture aligned with our Core Values.
- 1-2 years of administrative experience in an office environment. Construction experience is considered an asset.
- Experience with LMN, B2W, and SiteDocs software is considered an asset.
We can't promise you'll master the filing system on day one (nobody does), but we can promise a team that will show you the ropes and genuinely appreciate you for keeping the wheels turning while our Administrative Assistant is away.
