Facilities Team Lead, UCalgary Continuing Education

The Downtown Urban Campus of UCalgary Continuing Education is currently seeking a Full-time Limited Term Facilities Team Lead for approximately 24 months.
The University of Calgary Downtown Campus (DTC), which opened in 2010, offers programs by Continuing Education and the School of Public Policy and other Faculties of the University of Calgary. In addition, the University of Alberta delivers rehabilitation medicine programs from this campus.
The Administration of the DTC reports to the Office of the Deputy-Provost. The Campus is a leased property with the University as a tenant, responsible for maintaining the property in good repair and for setting up classrooms and events so as to ensure a safe work environment for all campus users. (Note: The University is not responsible for HVAC systems, plumbing, lighting, daily cleaning, or the building envelope).The Facilities Team Lead coordinates and supervises the work of general maintenance and facilities, and technology/facility support analyst staff. The Facilities Team Lead is responsible for ensuring that the Downtown and main campus locations are maintained to the standards expected in a Class A building with the outcome that campus users have a safe and comfortable work environment to carry out their activities. The incumbent is also responsible for ensuring time-sensitive event and classroom setup of furniture, staging, and podiums according to predetermined floor plans. The intended working hours are Monday through Friday, 8:30 a.m. to 4:30 p.m., but may change based on the business needs. Occasionally, part of the role involves contacting the Team Lead by phone during evening or weekend shifts if there are questions or clarifications needed. Depending on the campus needs, these hours may be adjusted periodically. Occasional weekend work might be necessary. Overtime could be required, and the incumbent may be expected to be on call standby. This position reports to the Manager, Facilities and Operations, with the work performed under minimal supervision.
Stress levels can vary from moderate to high depending on the number of events and the expectations of campus users. During peak seasons and for significant events, flexibility is necessary to work early mornings, evenings, and weekends based on campus event schedules and staffing availability.
This position requires work to be carried out under the following conditions: within confined spaces, heavy lifting, year-round indoor responsibilities, and limited outdoor work
responsibilities.
Summary of Key Responsibilities (job functions include but are not limited to):
· Provide daily coordination and supervision to the facilities/technology support team.
· Coordinate and perform the day-to-day maintenance, painting, and repairs required for a public, mixed-use student/rental facility.
· Interact with the property management team, the security team, caretakers, caterers, audio-visual vendors and other parties to ensure events, classes and meetings are executed successfully. To set up and tear down tables, chairs, staging and podiums for special events and classrooms.
· Act as the designated backup for the Event Coordinator, ensuring seamless continuity of event planning, coordination, and on-site operations during their absence.To provide daily/weekly operational oversight for events and class schedule and coordinate closing with event coordinator to manage all the requests.
· Provide coordination for moving furniture, offices and equipment throughout the DTC and main campus locations, including the management of stakeholder expectations.
· Ensure staff workspaces are maintained in good functioning order.
· Assist in procuring and coordinating small facilities consumables items or equipment for general maintenance items at both department locations.
· Plan and execute projects alongside the Facilities and Operations Manager. Collaborate closely with other stakeholders to offer feedback that will assist in delivering efficient service.
Qualifications / Requirements:
Experience
· Effective supervision of a small team is a valuable asset that contributes significantly to achieving organizational goals.
· Working in a professional business customer service environment is a critical asset.
· Moderate experience and user capability in the Microsoft office suite including word, e-mail, outlook calendar is a critical asset.
· Non-certified general facility maintenance experience is required.
· Ability to train and mentor other staff members with facilities and maintenance related task.
· Ability to use hand and power tools, work on ladders at various heights, and demonstrate a safety-conscious approach.
· Knowledge of essential technology tasks, such as powering on classroom computers and projectors, troubleshooting screen issues, and assisting instructors with setup for class, is required.
· Supervise and assist in the procurement of specialized trade tasks.
· Knowledge of basic facility maintenance tasks such as drywall mudding, taping, sanding, minor plumbing and painting techniques. Basic knowledge of furniture upkeep and lock mechanism repair.
· Must hold a valid minimum Class 5 Alberta Driver's License.
· Experience supporting facilities operations and events is considered an asset.

· Ability to perform physically demanding activities, including climbing, lifting, balancing, walking, stooping, and handling of materials.
· Ability to walk and stand for extended periods during the regular shifts.
· Ability and willingness to work in various environments, including office settings, classrooms and event/meeting spaces, and storage/service areas.
· Strong work ethic and initiative relating to continuous improvement, possessing the personal qualities of integrity, trustworthiness and reliability, high standards, and ethical values. Superior organizational skills with the ability to prioritize, manage time, and meet deadlines.
· Flexibility to work variable hours, including evenings and weekends, depending on operational needs.
· Ability to respond quickly and appropriately during emergency situations, supporting safety and continuity.
· Fluency in spoken and written English to ensure effective communication in all work setting.
