Job Summary

We are seeking a detail-oriented and organized Entry-Level Executive & Administrative Coordinator & Project Technology and Systems Coordinator to join our team. This multifaceted role provides vital support across administrative, project management, and technological functions. The ideal candidate will possess strong clerical skills, proficiency in various software tools, and excellent communication abilities. This position offers an opportunity to develop foundational experience in office administration, project coordination, and system management within a professional environment.

Responsibilities

Manage and maintain calendars using Microsoft Outlook Calendar and Google Workspace to coordinate meetings, appointments, and deadlines.
Perform data entry tasks accurately using Microsoft Office applications and Google Workspace tools.
Handle front desk duties including greeting visitors, answering multi-line phone systems, and providing exceptional phone etiquette.
Assist with bookkeeping activities utilizing QuickBooks, including invoicing, expense tracking, and basic financial record keeping.
Prepare, proofread, and review documents for accuracy and professionalism.
Organize files both electronically and physically through efficient filing systems to ensure easy retrieval of information.
Support project management activities by tracking progress, updating documentation via DocuSign, and assisting with project-related communications.
Provide excellent customer service by responding promptly to inquiries and supporting internal teams as needed.
Perform general clerical tasks such as photocopying, faxing, and maintaining office supplies.

Skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
Experience with QuickBooks or similar bookkeeping software is preferred.
Strong organizational skills with the ability to manage multiple tasks efficiently.
Excellent written and verbal communication skills with proper phone etiquette.
Attention to detail for proofreading documents and data entry accuracy.
Familiarity with multi-line phone systems and front desk operations.
Ability to handle confidential information discreetly.
Basic understanding of project management tools and systems coordination.
Office experience or clerical background is highly desirable.

Pay: $52,945.50-$76,221.67 per year
