Overview

We are seeking a motivated Entry-Level Office Administrative Coordinator & Client Services Coordinator to join our team in a dynamic office environment. This full-time or part-time role offers an excellent opportunity for individuals interested in gaining comprehensive administrative experience, supporting client relations, and developing organizational skills. The ideal candidate will be detail-oriented, proficient in office software, and possess strong communication abilities to ensure smooth daily operations and exceptional customer service.

Responsibilities

Manage front desk duties including greeting visitors and answering multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
Assist with appointment scheduling, calendar management, and client correspondence
Support bookkeeping activities such as invoicing, billing, and basic financial record keeping
Provide excellent customer service by addressing client inquiries via phone, email, or in person
Proofread documents for accuracy and clarity before distribution
Handle administrative tasks such as photocopying, scanning, and faxing documents
Support medical or dental office operations if applicable, including patient check-in/out procedures and insurance documentation

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Experience with QuickBooks or similar accounting software is preferred
Strong computer skills with the ability to learn new software quickly
Excellent organizational skills with attention to detail for data entry and document management
Effective phone etiquette and customer service skills for front desk interactions
Ability to multitask efficiently in a fast-paced environment while maintaining professionalism
Clerical experience including filing, record keeping, and managing multi-line phone systems is desirable
Strong typing skills with proofreading capabilities to ensure error-free communication
Prior administrative experience or medical/dental office experience is a plus but not required; training will be provided for specific duties like bookkeeping or dental receptionist tasks
