Full job description

Adecco is currently hiring an Executive Administrative Assistant for a full-time 1-year contract opportunity in Oshawa, ON. This role is ideal for a highly organized, proactive administrative professional who thrives in a fast-paced environment and enjoys supporting senior leadership. If you have exceptional organizational skills, strong attention to detail, and experience managing executive priorities while maintaining the highest level of confidentiality, this could be the perfect opportunity for you.
In this position, you will provide comprehensive executive administrative support, coordinate key business activities, manage executive calendars and communications, and help ensure the smooth and efficient operation of the office.

Pay Rate: $33.09/hour
Location: Oshawa, ON (On-site)
Schedule: Monday to Friday | Day Shift
Employment Type: Full-Time | 1-Year Temporary Contract

Responsibilities

Prepare, compose, and distribute routine and confidential correspondence, reports, presentations, and other business documents.
Coordinate meetings by scheduling appointments, preparing agendas, organizing meeting materials, and following up on action items.
Arrange travel, accommodations, and itineraries for leadership and staff as required.
Manage incoming and outgoing correspondence, including confidential materials, and prioritize items requiring executive attention.
Maintain complex executive calendars, coordinate appointments, and manage competing priorities.
Serve as a key point of contact between leadership and internal and external stakeholders to facilitate effective communication.
Establish, maintain, and manage electronic and physical filing systems in accordance with document retention policies.
Prepare and process reports, purchase orders, requisitions, and other administrative documentation.
Monitor deadlines, track action items, and maintain follow-up systems to ensure timely completion of projects and deliverables.
Provide administrative backup support and contribute to the efficient day-to-day operation of the office.
Handle confidential and sensitive information with professionalism and discretion.
Build and maintain positive working relationships with leadership, employees, and external partners.

Qualifications

Must be legally eligible to work and reside in Canada.
Proven experience as an Executive Administrative Assistant, Senior Administrative Assistant, or in a similar executive support role.
Advanced proficiency with Microsoft Office Suite, including PowerPoint, Excel, Outlook, and Adobe Acrobat.
Exceptional organizational, planning, and time management skills.
Strong verbal and written communication skills with a professional and polished approach.
Demonstrated ability to manage multiple priorities in a fast-paced environment.
Experience coordinating executive calendars, meetings, travel arrangements, and corporate events.
Strong attention to detail and excellent problem-solving skills.
Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
Proven ability to build strong relationships with executives, employees, and external stakeholders.
Self-motivated, adaptable, and able to work independently with minimal supervision.
