About the Role

I am looking for a highly organized, dependable, and proactive Personal & Professional Assistant to become my right-hand person and help keep both my business and day-to-day responsibilities organized.

This is not a traditional desk-only administrative position. Some days you may be working remotely on bookkeeping, emails, scheduling, or organizing documents. Other days you may be in person helping with business tasks, picking something up, making a deposit, running an errand, meeting a contractor, or handling one of the many things that come up in a busy week.

The goal of this position is simple: help keep things organized, moving, and off my plate so I can focus my time where it is most valuable.

I need someone who doesn't always have to be told what to do next. The right person will learn how I work, anticipate needs, follow through on details, and become someone I can confidently hand things over to knowing they will get done.

What You'll Help With

Responsibilities will vary from week to week and may include:

Managing calendars, appointments, reminders, and scheduling
Keeping track of deadlines, commitments, renewals, bills, and outstanding tasks
Light bookkeeping and maintaining organized financial records
Paying bills and tracking payments
Entering and organizing information in QuickBooks or spreadsheets
Organizing receipts, invoices, statements, and other documents
Managing and organizing digital files, folders, and paperwork
Helping organize emails and following up on outstanding items
Making phone calls, booking appointments, gathering information, and coordinating services
Completing forms, basic research, data entry, and administrative projects
Coordinating with employees, vendors, contractors, bookkeepers, and other professionals
Running occasional personal or business errands
Picking up or dropping off items and supplies
Helping manage household or property-related administrative tasks as needed
Keeping an ongoing task list and making sure things don't fall through the cracks
Taking ownership of small projects from start to finish
Handling other personal or professional tasks that arise

In short: if it can reasonably be taken off my plate, I want someone who is willing and able to figure out how to get it done.

Who I'm Looking For

You may be a great fit if you are:

Exceptionally organized and detail-oriented
Reliable and consistent with strong follow-through
Proactive, able to notice what needs to be done instead of always waiting to be asked
Comfortable working independently and figuring things out
Able to prioritize when several things need attention at once
Tech-savvy and comfortable learning new programs
Comfortable with Microsoft Office, Google Workspace, spreadsheets, and online systems
Familiar with QuickBooks or basic bookkeeping
A strong communicator in person, by phone, text, and email
Comfortable handling confidential personal and business information
Resourceful and good at problem-solving
Flexible when priorities change
Comfortable moving between professional administrative work and everyday errands
Someone who genuinely enjoys creating order out of chaos

Previous experience as an Executive Assistant, Personal Assistant, Administrative Assistant, Office Manager, Bookkeeper, or similar role would be an asset, but initiative, judgment, organization, and reliability are just as important to me as a specific job title.

This is a part-time hybrid position with a combination of remote and in-person work.

The schedule will have some flexibility, but the successful candidate must be available locally for in-person responsibilities and occasional errands during the week.
