Full job description

Our client, a dynamic and growing company, is seeking an Executive Assistant to join their team. This is an exciting opportunity to be part of a company that is evolving, becoming more complex, and plans for some high growth in the coming years.

This Executive Assistant role is a new and essential addition, designed to support a growing executive team of four and manage the increased workload associated with board-level governance. You will play a crucial role in putting more structure around the company's governance and contributing to its continued growth.

Responsibilities:

Provide board governance support.
Support the executive team with calendar management, organizing meetings, and preparing board decks and PowerPoints.
Manage shared mailboxes.
Assist with event preparation, including the annual general meeting.
Take on action items from board committee meetings.
Collaborate closely with the President/CEO

Qualifications:

3+ years of experience as an Executive Assistant supporting a board and a c-suite executive leadership team.
Strong board governance experience, including minute-taking and managing board decks.
Experience working with a corporate secretary or as a stand-in corporate secretary.
Professionalism and strong confidentiality.
Proactive, anticipatory, and flexible, with the ability to manage workload effectively.
Proficiency in Microsoft Teams, Word, PowerPoint, and Excel.
Ability to work a minimum of 1 day per week in the office (Wednesdays), with flexibility for additional in-office days as needed for executive and board meetings. Must live close enough to the office to accommodate this flexibility.
