Full job description

We are looking for a friendly, outgoing, highly organized, and detail-oriented Receptionist/Administrative Assistant to join our team. As the first point of contact for our clients and visitors, you will play an important role in creating a welcoming, professional, and positive experience while ensuring the smooth day-to-day operation of our clinic.

The ideal candidate is bilingual in English and French, enjoys working with people, thrives in a fast-paced environment, and is comfortable managing a variety of administrative and office support responsibilities.

Key Responsibilities

Welcome clients and visitors with warmth and professionalism, creating an excellent first impression.
Answer and manage a multi-line phone system, directing calls and responding to inquiries efficiently.
Schedule appointments, manage calendars, and coordinate meetings for staff members.
Perform accurate data entry and maintain organized electronic and physical filing systems.
Provide administrative support using Jane App, Google Workspace and Microsoft Office applications.
Support our team of physiotherapists by cleaning treatment rooms thoroughly after each patient visit and maintaining a clean, organized clinic environment.
Complete laundry duties throughout the day to ensure linens and supplies are always available.
Address client questions and concerns with professionalism while providing excellent customer service.
Collaborate with team members to improve office efficiency and contribute to a positive, team-oriented workplace.

Qualifications

Fluency in both English and French (spoken and written) is required.
Previous experience in a receptionist, administrative assistant, or customer service role is preferred.
Strong organizational skills with excellent attention to detail.
Outstanding interpersonal and communication skills with a friendly, positive attitude.
Proficiency with Google Workspace and Microsoft Office.
Experience using Jane App is considered a strong asset.
Ability to multitask, prioritize responsibilities, and work independently in a busy environment.
Comfortable performing light housekeeping duties, including cleaning treatment rooms and completing laundry.
Professional, dependable, and committed to providing exceptional client service.

Pay: $19.00-$22.00 per hour
