Legal Admin AssistantLocation: Sault Ste. MarieEmployment Type: Full-TimeCompensation: $40,000 Base Salary
About the PositionKPA Professional Corporation is seeking a professional, organized, and client-focused Legal Administrative Assistant to serve as the first point of contact for prospective and existing clients. This role is essential in creating a welcoming client experience while providing administrative support to attorneys and staff.The ideal candidate is personable, detail-oriented, empathetic, and thrives in a fast-paced legal environment. The successful candidate will have strong communication skills, excellent organization abilities, and the ability to manage multiple priorities while maintaining professionalism.
Key Responsibilities
Reception & Client Communication

Serve as the first point of contact for incoming phone calls, emails, and client inquiries
Welcome clients and visitors in a professional and friendly manner
Answer and direct phone calls appropriately
Provide general information to clients and assist with next steps
Maintain professional and empathetic communication with clients
Follow up with clients regarding requested information and documents

Administrative Support

Assist attorneys and staff with daily administrative tasks
Schedule consultations, meetings, and appointments
Prepare and send correspondence and basic documentation
Organize and maintain client files and records
Ensure documents are properly filed and easily accessible
Assist with scanning, copying, data entry, and document management

Office Coordination

Maintain accurate records and update client information in firm systems
Assist with tracking incoming inquiries and client information
Coordinate communication between clients, attorneys, and internal team members
Maintain confidentiality of client information at all times
Support general office operations as needed

Qualifications

Minimum 6 months of experience in a customer service role
1–2 years of administrative office experience preferred
Experience working in a law office is preferred
Strong verbal and written communication skills
Well-spoken and professional when communicating with clients
Excellent organization and attention to detail
Ability to multitask and manage competing priorities
Strong problem-solving skills and ability to take initiative
Good time management skills
Ability to handle confidential information with professionalism and discretion
Basic technology skills and ability to learn new systems
Proficiency with Microsoft Office, including: Microsoft Word, Microsoft Excel, Microsoft Outlook
Punctuality and ability to work in the office every day
