Overview

We are seeking a dynamic and detail-oriented Customer Service/Administrative Assistant to join our team! This role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer interactions. Duties

Greet visitors and clients professionally at the front desk, managing multi-line phone systems with courtesy and efficiency
Handle incoming calls, direct inquiries, and provide excellent customer support using phone etiquette
Perform data entry tasks accurately using Google, Outlook and QuickBooks for bookkeeping and record-keeping
Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
Assist with appointment scheduling and calendar management
Support clerical tasks such as proofreading correspondence, preparing reports, receivables, and payables, warranties for Heat pumps and registrations for Heat Pumps
Provide general administrative assistance including copying, scanning, and maintaining office cleanliness
Provide assistance to our sister company when needed, with phones and customer service
Assist with marketing

Requirements

Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and QuickBooks
Excellent computer skills with the ability to perform data entry quickly and accurately
Strong customer service skills with a professional demeanor and effective phone etiquette
Ability to multitask efficiently while maintaining attention to detail in a busy environment
Experience with filing systems, front desk operations, and multi-line phone systems
Basic proofreading skills and the ability to handle sensitive information discreetly
Ability to work with other companies regarding warranties and registrations, by email or phone, setting up or retrieving information
