Job Summary

I am seeking a dynamic and highly organized Administrative Assistant to join me! In this vital role, you will be the backbone of daily operations, ensuring smooth communication, efficient office management, and exceptional support to me and clients. Your proactive approach and attention to detail will help foster a productive and welcoming environment. Duties

Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace.
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents and compliance with record-keeping standards
Provide exceptional customer service by addressing inquiries, supporting client needs, and coordinating appointments or meetings
Assist with clerical tasks such as proofreading correspondence, preparing reports, and managing calendars for staff members
Supporting Insurance and investment office operations by handling client information with confidentiality and adhering to privacy regulations
Conduct general office duties including ordering supplies, managing mail distribution, and supporting team members with administrative needs

Skills

Strong computer skills with proficiency in Microsoft Office Suite, Excel, Google Workspace, and QuickBooks accounting software
Excellent organizational skills to prioritize tasks efficiently in a fast-paced environment
Experience with data entry, filing systems, and clerical procedures to ensure accuracy and consistency
Exceptional customer service abilities coupled with professional phone etiquette for handling inquiries via multi-line phone systems
Knowledge of the financial industry procedures is a plus, including familiarity with front desk operations and client support
Ability to proofread documents meticulously while maintaining high attention to detail
Strong typing skills to facilitate quick data entry and document preparation
