Term: Full-Time, Permanent

Hours: 35 hours per week

Nature & Scope

Reporting to the Director, Talent Acquisition, the HR Administrative Assistant is responsible for providing comprehensive administrative support throughout the high-volume recruitment cycle. Responsibilities include coordinating reference and background checks, maintaining employee files, generating offer letters, and facilitating HRIS onboarding activities. The role works collaboratively with Talent Acquisition Specialists and cross-functional teams, including Payroll, Compliance, Learning and Development, and Health & Safety, to ensure seamless hiring and onboarding experience.

Major Responsibilities- in this position, you will:

Electronic filing of a high volume of various documents into employee files and ADP
Answer and respond to general HR inquiries, primarily through the HR email inbox, by providing information, researching and sourcing answers as needed, and directing inquiries to the appropriate team members when required.
Maintain accurate, secure, and confidential employee personnel files and records.
Conduct reference checks for prospective candidates and document findings appropriately.
Coordinate the completion of pre-employment and onboarding documentation, following up with candidates as needed to ensure timely submission.
Enter candidate information into ADP and initiate onboarding and hiring processes.
Process employment verification requests and prepare employment confirmation letters.
Complete and process BC Provincial Nominee Program (BC PNP) employment-related documentation, ensuring accuracy and compliance with program requirements.
Submit Criminal Record Check applications through the Ministry of Justice online portal and track completion status.
Enroll new hires in required online Learning Lab courses and provide support with access and troubleshooting.
Support recruitment initiatives by posting and promoting job opportunities on external job boards and other recruitment platforms.
Communicate with candidates to conduct initial screening activities and coordinate interviews with hiring teams.
Deliver exceptional customer service to candidates, employees, and internal and external stakeholders through professional, timely, and responsive communication.
Ensure compliance with organizational policies and procedures, collective agreements, and all applicable federal and provincial legislation.

Qualification-you bring:

High School diploma required- preferred post-secondary education
1-2 years administrative experience in an office setting preferred
Excellent oral and written communication skills
Strong organizational and interpersonal skills
Ability to work independently and collaboratively with a large fast paced team environment.
Attention to detail
Excellent computer skills, including ability to use Microsoft Word/Excel/PowerPoint, Outlook, and related products (eg: SharePoint, Calendar), internet
Experience/knowledge in principles of human resources as an asset
Recruitment/Human Resources experience an asset
Successful candidate will be required to provide 3 satisfactory references
Successful candidates will be required to provide a current and satisfactory Criminal Record check with a Vulnerable sector search issued no later than six (6) months preceding the start date.
