Full job description

As an Accounting / Office Assistant, you’re the glue that holds our team together. It’s your job to make sure things are running seamlessly, so that your team can achieve success.

It’s an important job. That’s why we need someone like you – organized, consistent, focused on timelines and detail-oriented to support the team – to join us as our new Accounting / Office Assistant.

We’re Teletek Structures, a structural engineering firm specializing in telecommunications infrastructure. We design the backbone that keeps mobile networks running, helping people stay connected at work, with family, and with friends.

Our team is growing and so your role with us is more important than ever.

As our new Accounting / Office Assistant, you’ll have a dynamic role with responsibilities spanning executive support, office administration, accounting and project coordination.

As a key member of our team, you’ll play a vital role in supporting our Leadership Team. This dynamic position offers a diverse range of responsibilities as outlined below.

Accounting & Finance

Customer invoicing, following up on accounts receivable and bank deposits

Purchase orders and accounts payable processing

Payroll and job-cost allocation

AccountEdge data entry and reporting

Supporting month-end and annual processes

Operations & Project Support

Project setup and administration

Preparing project status updates

Maintaining engineering licenses and records

Supporting operational efficiencies like writing processes

Team & Executive Support

Calendar/travel coordination

Office administration like office supply orders, answering telephone, greeting visitors, mail, and onboarding support for new hires

General support to the leadership team and team members, as needed

This is a full-time permanent position working in our St. Jacobs office. Hours are Monday to Friday, 8:00 a.m. to 5:00 p.m. In addition to your 2 weeks’ vacation, you’ll receive 5 paid sick days, benefits, and you’ll have potential to earn profit sharing bonuses.

Qualifications

You’re made for this role if you have the following qualifications:

An accounting or business administration diploma, degree or equivalent educational background

Experience performing accounting tasks in a company with sales more than $1.5 million per year

Experience using Microsoft 365 (Word, Excel, Outlook) in a professional capacity

A valid driver’s license

The ideal candidate for this role will have:

Excellent communication skills (written and spoken, able to follow instructions and email responses professionally)
Accurate numeracy skills

Growth Mindset (willing/ able to learn from mistakes)

Able to drive to do errands from time to time

Team – able to contribute to team morale
