Full job description

HomeFree is looking for an Operations Scheduler to own the schedules for 40+ clients and the caregivers who serve them. You build the monthly schedules, keep coverage steady when things change, and advise Care Managers on how care teams are put together.

HomeFree is growing quickly. We’ve designed systems and processes that we’re extending and improving as our client base and caregiving teams grow. You’ll have room to improve how scheduling works and shape how HomeFree runs as it scales. This is a good fit for a self-motivated, proactive candidate who’s drawn to the idea of helping build a great company.

Compensation and Benefits

$57,000 to $60,000 per year plus quarterly performance bonus, with room to grow based on performance and impact

Schedule

40 hours per week
Core weekday availability of roughly 8:00 AM to 4:00 PM MT, so you’re reachable for real-time scheduling needs
You structure the rest of your hours in the way that works best for you
Care runs days, evenings, overnights and weekends, so some flexibility outside core hours is needed
You’re measured on outcomes, not hours logged

Location

Based in Calgary
Mostly remote, with occasional in-person work at HomeFree's offices
Administrative role — no direct client care

What You'll Do

Schedule Management and Optimization

Build and maintain monthly schedules for 40+ clients, filling shifts with as little disruption to existing care teams as possible
Act as the primary administrator of HomeFree's operations platform and keep the scheduling data accurate
Track caregiver utilization against targets and spread hours so no one is overloaded or underused
Keep schedules compliant with Alberta regulations, client contracts and company policy
Report on utilization, overtime, scheduling efficiency and how well the team holds to its schedule commitments

Care Team Construction and Workforce Management

Propose caregivers for open shifts based on skills, availability, proximity, language, fit and the client's personal care needs
Keep care teams consistent by limiting how often caregivers rotate on and off a client
Collect and maintain caregiver availability, and hold caregivers to their commitments
Spot caregivers at risk of being over-scheduled or burning out

Problem Solving and Contingency Planning

Handle sick calls, new client intakes and other last-minute changes, reassigning shifts quickly so care continues
Look ahead for conflicts and coverage gaps and plan for them before they land
Manage holidays and other high-demand periods

Communication and Collaboration

Be the first point of contact for caregivers on anything to do with their schedule
Give Care Managers options and recommendations so they can decide on team changes and staffing
Pass client issues and schedule changes to Care Managers, who handle client communication
Work with Resourcing so hiring keeps pace with demand

Documentation and System Management

Log client schedules, caregiver availability and scheduling communications accurately
Work in HomeFree's operations platform, HubSpot and Google Sheets

What Success Looks Like

Caregiver utilization. Utilization meets targets without concentrating hours or burnout risk in a small group of caregivers
Care team stability. Caregiver rotation per client goes down over time
Schedule compliance. Schedules meet Alberta regulations, client contracts and company policy
Operational efficiency. The client base grows without a matching increase in scheduling hours, and preventable errors — double-bookings, availability conflicts, unqualified assignments, missed changes — stay near zero

You’re also expected to catch coverage gaps early, own scheduling problems through to resolution, escalate when you need to, and give Care Managers useful information about staffing risks before they become issues.

Requirements

1 to 5 years in a role involving logistics and coordination across teams in an organization
Comfortable learning and working in software systems

Assets (not required)

Experience in scheduling, operations coordination, workforce management, customer service, healthcare or caregiving
Experience with scheduling software, CRM systems and productivity tools
Experience in high-volume, fast-paced operations with frequent change and competing priorities
Familiarity with compliance requirements in healthcare or home care
