Summary

We are seeking a Studio Operations Manager with deep expertise in project management software implementation and team enablement. This role is central to how our design teams operate, ensuring that the right systems, tools, and workflows are in place to drive efficiency, accountability, and collaboration. This is not a construction management role; it is a leadership position focused on managing design teams through the effective use of digital project management platforms. You will be responsible for designing, optimizing, and championing studio-wide processes that keep projects moving smoothly from concept to completion.

Key Responsibilities

Lead the implementation, configuration, and administration of project management software (e.g., Asana, Monday.com, Smartsheet, MS Project).
Design and maintain studio-wide digital workflows, dashboards, and reporting tools to track milestones, deliverables, and team performance.
Train, support, and coach design staff at all levels on effective use of project management platforms.
Continuously evaluate and refine PM systems to ensure they meet evolving studio needs and industry best practices.
Develop and maintain integrated project schedules, identifying critical paths and dependencies across design disciplines.
Support project leads by providing accurate project tracking, data insights, and resource allocation reporting.
Monitor deadlines and deliverables, proactively flagging risks and ensuring corrective actions are implemented.
Standardize and maintain project documentation, including templates, logs, trackers, and schedules.
Champion adoption of digital tools across architecture, interior design, and landscape teams, ensuring consistency and clarity in project delivery.
Serve as the subject-matter expert and go-to resource for all project management software questions and optimizations.

Qualifications

5+ years of experience in a project management or operations role within a design, architecture, or creative services environment.
Proven track record of implementing and managing project management software at a team or organizational level.
Strong understanding of design project workflows and deliverables (Concept, DD, CDs, etc.) is highly desirable.
Advanced knowledge of PM and CRM tools (e.g., Asana, Monday.com, Smartsheet, MS Project, HubSpot).
Excellent organizational and analytical skills with an eye for process efficiency.
Strong communication and leadership skills; able to influence, guide, and align creative teams.
Proficiency with Microsoft Office Suite; working knowledge of Adobe Creative Suite a plus.
Ability to manage multiple concurrent projects and priorities in a fast-paced studio environment.
