Sales & Customer Service Coordinator
Location: Mississauga, ON

Position Overview
BeautéSync Inc. is looking for a proactive, customer-focused Sales & Customer Service Coordinator to join our growing team.
You will work closely with our existing sales, warehouse, and operations team to support customers both in our Mississauga showroom and online. Sales is an important focus of this position, including assisting customers with product selection, answering inquiries, following up with potential customers, and helping close sales.
In addition to sales, you will help with customer service and after-sales cases, Amazon customer support and general showroom operations.
Because we sell spa and salon furniture and equipment, including large and specialized products, we are looking for someone who is comfortable taking ownership of customer issues, coordinating between customers, warehouse staff and delivery partners, and finding practical solutions rather than simply passing problems to someone else.
Key ResponsibilitiesSales & Customer Experience
- Welcome and assist customers in our showroom with professionalism and enthusiasm.
- Understand customer needs and recommend suitable products and solutions.
- Introduce product features, demonstrate equipment, answer questions, and help customers make purchasing decisions.
- Respond promptly to sales inquiries by phone, email, website, and other online channels.
- Follow up with potential customers and actively work toward closing sales.
- Process in-store and online orders and payments accurately.
- Provide excellent pre-sales and after-sales service.
- Support customers with product pickups and provide hands-on assistance when required.
- Maintain a strong customer-first mindset while balancing customer satisfaction with reasonable business costs and company policies.
Customer Service & After-Sales Support
- Handle customer concerns involving product damage, missing parts, product operation, installation questions, quality concerns, delivery issues, returns, exchanges, and refunds.
- Review each customer case carefully to understand the actual issue before recommending a solution.
- Request and review customer photos, videos, order information, and other supporting information when necessary.
- Work with customers and internal teams to determine practical solutions such as troubleshooting, replacement parts, exchanges, returns, partial refunds, or other appropriate resolutions.
- Maintain professional and calm communication when handling dissatisfied or frustrated customers.
- Avoid making commitments outside of company policy or individual authorization limits.
- Maintain accurate records of important customer service cases and their final resolutions.
Amazon Customer Service & After-Sales
- Monitor and respond to Amazon customer inquiries and after-sales cases in a timely and professional manner.
- Manage customer communication through Amazon's Buyer-Seller Messaging system.
- Review and process Amazon return requests according to company procedures and Amazon requirements.
- Assist with:
- Return Requests
- Return Authorizations
- Prepaid and unpaid return labels
- Full and partial refunds
- Replacement orders and replacement parts
- Customer-caused versus seller-responsible returns
- Large-item return transportation and pickup arrangements
- Investigate delivery-related issues by reviewing tracking information, delivery dates, carrier updates, and customer communications.
- Coordinate with warehouse staff and shipping carriers regarding delayed, damaged, lost, or returned shipments.
- Maintain clear supporting records for important cases, including customer messages, photos/videos, tracking information, return labels, refund records, and final resolutions.
- Understand the importance of protecting customer satisfaction while also considering the cost of returns, freight, replacement parts, and refunds.
- Escalate higher-risk or higher-value cases to management when appropriate, including significant refunds, returnless refunds, large-item freight returns, A-to-z Guarantee Claims, safety/compliance concerns, or unusual disputes.
- Assist management in maintaining good Amazon customer service performance and minimizing preventable customer complaints and account-related risks.
Showroom & Daily Operations
- Help maintain an organized, clean, and professional showroom environment.
- Ensure product displays are presentable and correctly labelled with pricing and product information.
- Assist with opening/closing and other routine showroom operational tasks as assigned.
- Complete daily sales and cash reports when required.
- Assist with regular inventory checks and help identify discrepancies between system inventory and physical stock.
- Provide product measurements, photos, videos, and other information required by our e-commerce team.
- Assist with walk-in traffic while balancing ongoing online customer service responsibilities.
Logistics & Delivery Coordination
- Coordinate with our warehouse team to ensure customer orders are prepared and fulfilled on time.
- Communicate with delivery drivers and freight carriers regarding delivery schedules and customer requirements.
- Coordinate local deliveries, customer pickups, and special delivery arrangements.
- Communicate delivery updates between customers, drivers, warehouse staff, and management.
- Help coordinate additional labour when required for unloading, moving, or receiving large furniture and equipment.
- Follow up on delayed shipments, missed pickups, damaged freight, and other delivery exceptions.
- Maintain accurate records of important shipping and delivery information.
Qualifications
- Previous experience in sales, customer service, retail, e-commerce, or operations is preferred.
- Strong interpersonal and communication skills with a genuine customer-first mindset.
- Strong written and verbal English communication skills.
- Comfortable communicating with customers by phone, email, and in person.
- Strong problem-solving skills and the ability to remain calm when dealing with customer complaints.
- Highly detail-oriented and able to accurately handle orders, refunds, shipping information, customer records, and payments.
- Strong sense of ownership and accountability — willing to follow an issue through until it is properly resolved.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Comfortable coordinating with customers, warehouse staff, delivery drivers, freight carriers, and other service providers.
- Good judgment and awareness of when an issue can be handled independently and when it should be escalated to management.
- Basic computer proficiency, including Microsoft Excel and general online business tools.
- Experience with Shopify and/or Amazon Seller Central is an asset; training can be provided.
- Experience with e-commerce returns, shipping, logistics, or after-sales support is an asset.
- Photography, content creation, or basic design experience is a plus.

Pay: $40,000.00-$45,000.00 per year
