Job Summary
We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organisation. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. If you are an outgoing "people" persona and love sports and fitness, this role is for you!

Your organisational skills and office management expertise will ensure smooth daily operations, creating a positive first impression and supporting overall office efficiency. This paid position offers an exciting opportunity to develop your administrative and customer support skills in a dynamic environment.

Shifts: Full-time Evenings or weekends (Please state which shift is preferred)

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle appointment scheduling, calendar management, and coordinate meetings for staff or medical/dental professionals as needed
Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
Assist with clerical tasks such as proofreading documents, managing correspondence, and supporting bookkeeping activities with QuickBooks or similar software
Support office management duties including supply inventory, organization of files, and maintaining a tidy reception area
Provide excellent customer support by addressing inquiries promptly and professionally, both in person and via phone or email

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Bilingual abilities are a plus to assist diverse client needs
Previous office experience or clerical experience is highly desirable
Knowledge of multi-line phone systems and phone etiquette to manage high call volumes efficiently
Experience with medical or dental receptionist duties is advantageous
Personal assistant or administrative experience that includes calendar management and data entry tasks
Attention to detail for proofreading documents and maintaining accurate records
Strong time management skills to prioritize tasks effectively and meet deadlines
