Overview
We are seeking a highly organized and proactive Executive Assistant to support the CEO and manage dispatch operations. This role requires a versatile professional capable of handling a wide range of administrative, clerical, and project coordination tasks. The ideal candidate will possess excellent communication skills, strong organizational abilities, and proficiency with office management tools. This position offers an opportunity to work in a dynamic environment where attention to detail and multitasking are essential for success.

Responsibilities

Provide comprehensive executive administrative support to the CEO, including calendar management, scheduling meetings, and coordinating appointments using Microsoft Outlook Calendar and Microsoft Teams.
Manage dispatch operations efficiently, ensuring timely communication and coordination with drivers and clients.
Assist with event planning for company functions, meetings, and client engagements.
Handle bookkeeping and bookkeeping-related tasks using QuickBooks, including data entry, invoicing, and expense tracking.
Support project coordination efforts by tracking deadlines, preparing reports, and maintaining organized files.
Perform office management duties such as filing, front desk reception, answering multi-line phone systems with professional phone etiquette, and managing office supplies.
Conduct proofreading and transcription of documents to ensure accuracy and clarity.
Utilize office software such as Microsoft Office Suite (Word, Excel) for document creation and data management.
Manage correspondence via email using platforms like DocuSign for electronic signatures.
Provide personal assistant support as needed, including travel arrangements and personal errands for the CEO.
Maintain confidentiality of sensitive information while providing exceptional customer service to internal and external stakeholders.

Requirements

Proven experience in executive administrative support or personal assistant roles within a professional office environment.
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
Proficiency in Microsoft Office (Word, Excel), Google Workspace, Microsoft Outlook Calendar, QuickBooks, and DocuSign.
Excellent typing skills along with experience in data entry, proofreading, transcription, and filing.
Familiarity with office management procedures including front desk operations and multi-line phone systems.
Exceptional communication skills with professional phone etiquette.
Demonstrated ability to coordinate projects efficiently while managing multiple deadlines.
Office experience that includes clerical duties such as customer service, scheduling, and general administrative tasks.
High level of computer literacy with the ability to adapt to new software tools quickly.
Self-motivated with a keen eye for detail and problem-solving capabilities. This role is ideal for a dedicated professional seeking a challenging position supporting executive leadership while contributing to smooth operational workflows within a dynamic organization.
