Full job description

Job Description

We are seeking an experienced and detail-oriented Payroll Specialist with a strong focus on Payroll function to lead the accurate and timely processing of payroll while ensuring compliance with all applicable federal and provincial legislation. This role serves as the primary payroll resource for employees and management, maintaining payroll integrity, confidentiality, and service excellence across the organization.

Reporting to the Director - Human Resources , the Payroll Specialist is responsible for end-to-end payroll processing, payroll reconciliations, remittances, year-end reporting, and employee payroll support. In addition, this position provides general HR administrative support related to employee lifecycle events and benefits administration.

Key Responsibilities

Payroll Administration

Independently process accurate and timely payroll for salaried and hourly employees.
Calculate and review earnings, overtime, bonuses, taxable benefits, deductions, and retroactive adjustments.
Audit payroll data and payroll reports to ensure accuracy and compliance prior to payroll processing.
Maintain employee payroll information in ADP Workforce Now and related systems.
Ensure payroll transactions comply with federal and provincial legislation, company policies, and payroll standards.
Administer and reconcile payroll deductions.
Prepare and submit payroll remittances to government agencies and third-party providers on a timely basis.
Manage employee payroll inquiries and provide professional support regarding earnings, deductions, vacation balances, leaves, and payroll processes.
Prepare payroll reconciliations and support internal and external audits.
Coordinate year-end payroll activities, including balancing, reporting, T4 preparation, T4A preparation (where applicable), and year-end adjustments.
Support payroll system enhancements, process improvements, reporting, and compliance initiatives.
Maintain strict confidentiality of payroll and employee information.

Benefits Administration

Administer employee benefit enrollments, changes, and terminations. Ensure employee data accuracy between benefit providers and HRIS systems.
Coordinate benefit deductions and support employee inquiries related to benefits programs.
Assist with leave administration and benefit continuation processes.

HR Support

Support onboarding and offboarding activities, including employee documentation and HR

System updates.

Prepare employment letters, employee change documentation, and other HR-related correspondence.
Maintain employee records and ensure documentation is complete and up to date.
Assist with HR reporting, projects, and initiatives as required.
Provide general administrative support to the Human Resources team.

Additional Responsibilities

Perform other duties as assigned by Director - Human Resources

Qualifications & Skills

Diploma or Certificate in Payroll Administration, Accounting, Human Resources, Business Administration, or a related field.
5+ years of Canadian payroll processing experience, including end-to-end payroll administration.
PCP designation through the National Payroll Institute, or actively working toward completion, is strongly preferred.
Thorough knowledge of Canadian payroll legislation, employment standards, taxable benefits, statutory deductions, and payroll compliance requirements.
Experience processing multi-provincial payrolls in a multi-site environment.
Strong experience with payroll reconciliations, year-end processing, T4 preparation,
remittances, and payroll reporting.
Experience using ADP Workforce Now or similar payroll/HRIS systems.
Advanced proficiency in Microsoft Excel, Outlook, and Microsoft Office applications.
Strong analytical, problem-solving, organizational, and data management skills.
Excellent communication and customer service skills with the ability to manage confidential information.
Experience in distribution, manufacturing, industrial, construction, or related industries is considered an asset.
