Full job description

Overview
We are seeking a dedicated and organized Medical Office Assistant to join our healthcare team. The ideal candidate will provide essential support at the front desk, manage patient interactions, and ensure smooth daily operations within our medical practice. This role offers an opportunity to work in a fast-paced environment where attention to detail and excellent communication skills are vital. Prior experience with electronic medical records and office management systems is highly valued, and familiarity with software such as Accuro will be considered a strong advantage. The Medical Office Assistant plays a crucial role in delivering exceptional patient service while maintaining efficient administrative workflows.

Duties

Greet patients and visitors professionally at the front desk, creating a welcoming environment
Schedule appointments and manage patient flow using electronic medical records systems
Verify patient insurance information and update records accurately
Handle multi-line phone systems to answer inquiries, schedule appointments, and relay messages
Assist with check-in and check-out procedures, including collecting payments and providing necessary forms
Maintain accurate documentation of patient information, medical history, and treatment details
Support clinical staff by preparing charts, updating records, and managing correspondence
Ensure the cleanliness and organization of the front office area to promote a professional environment
Perform administrative tasks such as filing, faxing, copying, and data entry with precision
Manage communication between patients, providers, and insurance companies efficiently

Requirements

Proven experience as Medical Office Assistant in a healthcare setting
Experience using Accuro or Cerebrum EMRs is considered a strong asset.
Experience or familiarity with Endoscopy and cardiac procedures is considered an asset
Strong knowledge of medical terminology and healthcare documentation standards
Excellent organizational skills with attention to detail in record keeping and scheduling
Experience working with multi-line phone systems in a busy office environment
Ability to handle front desk responsibilities with professionalism, empathy and courtesy
Previous office experience in a healthcare setting is preferred
Strong communication skills both verbal and written
Ability to multitask effectively in a fast-paced environment
