Job Description

Reporting to the Program Coordinator, provide customer service to teams/players on game nights. Act as a liaison between teams and Program Coordinator. Primary on-site contact and go-to person for league participants and staff. Ensure league runs smoothly each week and deal with issues/incidents/complaints involving teams/players.

Responsibilities:

Ensure Player Registration forms are filled out by players at the beginning of the season.
Assist with team rep meetings (prior/post season).
Verify and hand out game sign-in sheets to team representatives for player attendance (weekly).
Verify and hand out game sheets to timekeepers to score games (weekly).
Collect all completed game sheets and sign-in forms at the end of the night.
Visit team dressing rooms (before/after) to chat with team representatives/players.
Communicate information/news with teams.
Report any issues to Program Coordinator/Supervisor.
Remind teams about the Alcohol/Smoking Policy.
Ensure referees arrive for shifts.
Contact referees in case of absences or last minute emergencies.
Pay referees with float each week.
Ensure referees sign for payment.
Ensure timekeepers arrive for shifts.
Contact timekeepers in case of absences or last minute emergencies.
Help timekeepers in the booth if needed. Convenor should know how to operate the time/score clock in case it is necessary.
Apart from Referees and Timekeepers, the Convenor is a League Official who should watch games and contribute their point of view if incidents arise on or off the ice/field.
Collect Referee Reports for all incidents and make notes if necessary.
Compile weekly statistics from the info collected on game sheets.
Provide input with regard to player suspensions.
Contact team rep and inform them of any suspensions regarding players on their team.
Follow-up with team payments/balances each week to ensure teams adhere to the payment policy.
May be asked to assist with scheduling and divisional alignments.
Hand out weekly prizes/coupons during the season and championship prizes at the end of the season.
May be required to assist on-ice/field in case of an injury or call for assistance in an emergency situation.
Required to complete incident/accident reports for any injury during league play.
Required to know league rules and make interpretations as necessary.
Enforce and follow City of Oshawa policies and procedures
Complete Public Accident/Incident Reports or Complaint/Enquiry Forms as required
Administer first aid as required
Complete Public Accident/Incident Reports or Complaint/Enquiry Forms as required and report to Head Instructor or Program Coordinator
Enforce City of Oshawa policies and procedures, including but not limited to: admission requirement standards, emergency procedures (eg. fire plan)
Other duties as assigned

Requirements:

Preferably, minimum of 1 year related experience (convenor) in a league environment (youth or adult).

Know how to operate time/score clock and complete game sheets

Minimum of one (1) year previous experience in a fitness studio
Possess and keep current Standard First Aid/CPR ‘C’ qualifications
Possession and maintenance of a valid Yoga Certification and/or Pilates certification is considered an asset
Demonstrate good customer service and communication skills to deal effectively and courteously with staff and the general public; good interpersonal skills with the ability to establish and maintain positive working relationships
Attend all staff trainings and meetings
Ability to work shifts, including evenings, weekends, and holidays as required
