Full job description

Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This role offers an exciting opportunity to combine essential bookkeeping responsibilities with vital administrative support, ensuring smooth daily operations. The ideal candidate will be energized by multitasking, possess strong organizational skills, and demonstrate a proactive approach to managing financial records and administrative tasks. Your contributions will help maintain accurate financial data, support office functions, and enhance overall efficiency.

Responsibilities

Manage accounts payable and receivable using QuickBooks or similar accounting software, ensuring timely processing of invoices and payments
Perform data entry with precision, maintaining accurate financial records and updating spreadsheets regularly
Handle clerical duties such as filing, photocopying, and organizing documents to keep the office well-organized and accessible
Assist with customer service tasks, including responding to inquiries via phone or email and supporting client communication efforts
Support HVAC office operations by managing appointment scheduling, Service and Maintenance calls dispatching, and billing processes when applicable
Proofread documents for accuracy and clarity, ensuring all correspondence is professional and error-free

Requirements

Proven experience with bookkeeping software such as QuickBooks; familiarity with Google Workspace, Microsoft Office and Excel is essential
Strong office experience with excellent organizational skills and attention to detail
Proficiency in data entry, typing, proofreading, and maintaining filing systems
Previous clerical experience in a professional setting; experience in Electrical or Mechanical Service company offices is a plus
Exceptional customer service skills with the ability to handle multi-line phone systems confidently and courteously
Knowledge of front desk procedures, including managing appointments and client interactions
Demonstrated ability to prioritize tasks efficiently while maintaining accuracy under pressure
Excellent computer skills across various platforms with a focus on organizational tools and office applications
