About Learnwell

Learnwell is a French language and career institute in Surrey. Most of our students aren’t learning French as a hobby — they’re working toward NCLC 5 or NCLC 7 because it changes their immigration outcome. That gives our campus a particular feel: people are motivated, the timelines are real, and the small things we do well (a returned call, a correctly booked assessment, a clean file) matter more than they would somewhere else.

We’re a small team, and our company culture is more a family rather than a business. Everyone here knows the students by name.

The role

You’re the first person students meet and the person who keeps the day running. Half of the job is front desk and student experience; the other half is the administrative work behind enrolment, scheduling, and records. You’ll report to the Campus Director and work closely with our Admissions & Student Relations Coordinator and our Program Director.

What you’ll do

Front desk and student experience

Greet walk-ins, answer phones, and respond to email and WhatsApp inquiries during business hours
Answer questions about our programs, schedules, and fees, and route anything you’re not sure about to the right person
Keep the reception area, classrooms, and shared spaces presentable and stocked

Admissions and enrolment support

Log and track incoming leads, book placement assessments and consultations, and follow up on no-shows
Assist in preparing and sending enrolment agreements, collect signed documents, and confirm payment plans are set up correctly
Keep student records accurate and current in our CRM

Administration

Process payments and issue receipts; assist with invoicing and basic reconciliation
Order supplies, manage the shared inbox, and keep filing and folder structures in order
Assist with marketing tasks as needed (event setup, printing, community outreach materials)

What we’re looking for

Required

2+ years in reception, administration, customer service, or a student-facing role
Strong written and spoken English; clear, professional phone and email manner
Comfort with everyday software: Google Workspace or Microsoft 365, and willingness to learn our CRM
Organized and reliable with follow-up — you close loops without being reminded
Legally entitled to work in Canada

Nice to have

French, Punjabi, or Hindi or another language
Experience at a language school, private career college, or immigration-adjacent office
Familiarity with CRM tools (such as GoHighLevel, HubSpot, or similar)

Who tends to do well here

People who like variety, don’t mind switching between a phone call and a spreadsheet ten times a day, and are genuinely warm with students who are often stressed about their timelines.

One important note about scope

Learnwell is a language school. Many of our students are pursuing immigration goals, and some of them will ask you immigration questions. This role does not involve giving immigration advice. Under Canadian law, only an authorized representative may advise or represent someone on an immigration matter. All immigration questions are referred to our licensed RCIC. We’ll train you on exactly where that line sits, and we take it seriously.

What we offer

$20-$22 per hour, based on experience
Work Schedule: 40 hours per week, Monday – Friday and/or Tuesday – Saturday
